New
- We are excited to announce the release of Forms to practices on the Elite plan. This highly anticipated feature transforms how practices collect client and internal information. Designed to support the entire information lifecycle, Forms brings consistency, automation and control to data collection.
With Practice Branding, Custom and Sample templates, dedicated Workflows and Automations, Forms makes it easy to capture the right information at scale while reducing manual effort. Forms can be shared securely with clients, internally, or via external links. Once submitted, forms are finalised, filed, and when marked as Finished, automatically converted to PDF, ensuring a structured workflow from end to end. Enhancements
- We’re excited to announce the release of the new Optimised Job Sync feature for practices integrated with Xero Practice Manager:
- Users can now sync individual jobs directly from the Job Workspace using the new Sync Job button.
This enables updates made in XPM to standard job details and Custom Field values (where FYI as Primary is not enabled) to be synchronised to FYI for that job only, providing faster access to updated information without running a full job sync. This also reduces the impact on Xero rate limits.
A Pending Sync badge will be displayed in the Job Workspace while the sync is in progress. Users should wait until the sync is complete before making further edits to the job. Refer to Announcing the new Optimised Job Sync with Xero Practice Manager.
- The Sync button has been removed from the tools menu in the Jobs Lists and Jobs Boards. The Maintain Jobs in FYI setting has also been removed from the Xero Practice Manager app.
Where a bulk sync of all jobs is required, FYI Admins and users with permissions for Automations can run a manual sync from the relevant Automation App. Refer to Running a Manual Sync with Xero Practice Manager.
- Users can now sync individual jobs directly from the Job Workspace using the new Sync Job button.
- For practices integrated with MYOB Practice Management (formerly Greatsoft), we have also introduced the new Sync Job button on the Jobs Workspace. As Jobs are synchronised every 15 minutes, we have removed the Sync button from the tools menu in the Jobs Lists and Jobs Boards. Refer to Running a Manual Sync with MYOB Practice Management (formerly GreatSoft).
- When displaying tasks from the My Tasks workspace and selecting grouped view, tasks due 'Today' will now be grouped first. 'Past Due' and 'Upcoming' tasks will display grouped thereafter, allowing users to quickly access today's tasks at hand. Displaying Tasks from your Home.
- You can now add Comments to the Create Task automation step. A new "Comments" section is available at the bottom of the step and supports Merge Fields to dynamically populate comments. For example, tagging the Admin Team when an unassigned task is created, ensuring the task is addressed promptly. For existing automations and when creating a new automation, comments are toggled off by default. Refer to Process Step Details - Create Task.
- We have enhanced the messaging when a scheduled automation does not run due to configuration errors. The process status will be automatically set back to Draft to prevent further errors, and a message will also be displayed in Practice Activity. Users can click "Read More" to view additional information and assist with troubleshooting. Refer to Error FYI-2273 "Review and update the Filters and Steps used in your Automation Process before reactivating."
- We have enhanced the New Collaborate Status Check to display the most recent date and time the Guest User reconciliation was run, and to manually trigger a Guest User Reconciliation when required. Refer to New Collaborate Status Check Overview.
- For practices integrated with APS, CCH, IRIS or MYOB, we have enhanced the messaging in Practice Activity when users are unable to be created due to a missing email address or username. In each scenario a separate message will now display with the corresponding error. Refer to Error FYI-2272 "Unable to create user due to missing Username or Email Address".
- For practices on the Elite plan, the My Team Productivity Dashboard has been optimised to only display users with at least one time entry in FYI. For example, new users that have not yet recorded time in FYI will be excluded. Please note that if viewing a historical period, inactive users may be displayed if time entries were recorded for the user in the selected period. Refer to Using My Time - Productivity Dashboard.
Resolutions
- We have resolved an issue to prevent duplicate Custom Field definitions from being created.
- We have resolved an issue when creating a document, that caused the Templates drop-down to display no options. Active templates will now be available for selection, when creating a document.
- For practices integrated with APS or CCH, we have resolved an issue where multiple Practice Activity alerts were generated when a client's custom field could not be synced to a client record. The error message will now display only once every 24 hours per client record.
For practices on the Elite plan:
- When creating or editing time entries, we have resolved an issue that caused the Rate drop-down to display no options. The drop-down now correctly displays active rates.
- We have resolved an issue where small rounding differences caused errors in the calculation of an invoice. Invoice totals are now calculated consistently to two decimal places to ensure accurate results. Any invoices previously affected have been corrected.
- We've resolved an issue in the FYI API that caused errors when requesting invoices associated with a deleted job. Requests will now exclude any invoiced deleted jobs.

Enhancements
- For practices using New Collaborate, we have enhanced the Status Check's Guest User Reconciliation to identify when guest users have been added directly to SharePoint instead of FYI. To rectify the issue, the guest user's access will need to be revoked from SharePoint, and re-added correctly from within FYI. Refer to New Collaborate Status Check Overview and New Collaborate Guest User Error "Link Facet Access - Replace with Invitation".
- For practices on the Elite plan using Forms (Beta), when a form includes a Summary table, this field is hidden when the form is converted to PDF. This ensures that fields are not repeated and accurately reflect the submitted form information. Refer to Converting Forms to PDF (Beta).
Resolutions
- We've resolved an issue where .msg attachments within emails were incorrectly filed. All .msg attachments are recognised and filed as Email documents in FYI, and can be previewed or exported.
- For practices integrated with APS, we have resolved an issue where contacts without a client record caused errors during synchronisation. Contacts that exist without a matching client record are now excluded from the sync.

Resolutions
- We have resolved an issue where changes made to the Retain Uploads or Personalised Links setting within Collaborate - Client app triggered an unintended recreation of a SharePoint site. Affected permissions have been corrected, and no further action is required.

Enhancements
- For practices integrated with APS, CCH, IRIS, or MYOB, we've enhanced the user synchronisation process to prevent duplicate users from being created. When synchronising users where an email has changed, or aliases have been added, the sync now checks for a match by email first, then by alias, and finally by the Source ID from the relevant practice management system. Refer to the individual integration articles for more information on synchronised fields.
- For practices integrated with Practice Sync, the FYI Practice Sync Desktop App has been upgraded to .NET 8, ensuring it continues to run on secure and fully supported technology. The upgrade is applied automatically to existing practices. If required, FYI Admins or users with relevant permissions can manually download the latest version from the relevant Practice Management app in Automation - Apps. Socket - a proposal and engagement platform that integrates with FYI to reduce duplication and improve visibility across the client lifecycle. Client and contact details are synchronised from FYI into Socket, while approved proposals and engagement documents are automatically synchronised back into FYI, supporting a smoother transition from proposal acceptance to service delivery. OnboardMe - a client onboarding and engagement platform that integrates with FYI to simplify and automate client onboarding. Client details, engagement documents and onboarding progress are automatically synchronised between FYI and OnboardMe, helping practices reduce administrative effort and maintain a single source of truth. - For practices on the Elite plan, we are excited to release Date-based Time Reporting available to users with Create Report permissions. This feature introduces an Opening Balance option designed specifically for practices running a WIP Control report to assist with large data sets. Users can define the Opening Balance period using fixed or relative dates, ensuring more precise period reporting and clearer reconciliation results. A new WIP Control Report v3.4 is now available to support this functionality. The new report template will need to be downloaded from the Help Centre here, and uploaded to your FYI platform to replace the existing report. Refer to Managing FYI Excel Master Report Templates.
Enhancements
- For practices integrated with Xero Practice Manager, new jobs created in XPM are now synchronised to FYI within approximately 15 minutes, rather than overnight. This allows users to access and work on jobs sooner, while reducing the need to run manual syncs and supporting more efficient use of XPM Rate Limits.
For practices where FYI as Primary is not enabled, Job Custom Field values will also be synchronised if the Sync Custom Fields from XPM is enabled in the XPM app in FYI.

- When creating a Task manually or via an Automation Process, practices can now use a Custom Due Date to automatically calculate the task Due Date. A value up to 365 days can be specified and applied when the task is created. The Custom Due Date can be configured as a default in Practice Settings for Tasks, or set on Task Templates and within the Create Task step in an Automation Process. Refer to Managing Tasks and Process Step Details - Create Task.

Look Up Job and Look Up Client steps in Automation processes now include a Context behaviour option. This option allows users to choose whether subsequent automation steps are related to the current record or to the record found by the Look Up step. Selecting Update context to lookup result applies all subsequent steps to the matched record in the lookup step, whereas selecting Preserve previous context ensures subsequent steps are matched to the current record. The selected option is displayed in the automation step, and changes to the setting are also recorded in Activity History. - For practices migrating time and invoices from MYOB AO/AE to FYI (Beta), when your Practice Management source is changed to FYI, any synchronised disbursement entries that have been partially paid are now automatically split into two time entries. The original entry is updated to reflect the amount already invoiced, and a new disbursement is created for the remaining uninvoiced amount, ensuring it can then be invoiced at a later date. Refer to Synchronising Clients, Users and Jobs with MYOB AE & AO (Australia & New Zealand Only).
For practices on the Elite plan:
- We've improved the synchronisation with Xero invoices to ensure additional updates made to an invoice are now reflected in the PDF Invoice in FYI. The sync now includes changes to the invoice number, description, price, quantity, tax rate, as well as any changes to lines such as adding, deleting or reordering. Refer to Synchronising Contacts, Invoices, and Client Ledger Reports with Xero Ledger.
For practices on the Elite plan and Forms (Beta):
- We have enhanced the messaging when Forms is enabled or disabled. A message will display in Practice Activity to confirm that Forms has been enabled or disabled, along with the user details and date the setting was updated. Refer to Managing Practice Settings for Jobs.
- We've introduced a Forms - Submitted Document view to make it easier to manage submitted Forms. When the Forms feature is enabled, this system view is automatically created and filters the document list to display only Forms with the Submitted workflow status. Once created, the view cannot be deleted and will remain available even if Forms is later disabled. Refer to Managing Practice Settings for Forms (Beta).
Note, for beta practices with Forms already enabled, this view will be created in your platform as part of this release.
Resolutions
- For practices using MYOB Practice Management (formerly GreatSoft) as their Practice Management source and connected to Xero Practice Manager, an issue where client fields were not synchronising correctly to Xero Practice Manager has been resolved.
- For practices integrated with BGL or Now Infinity, we have resolved an issue where practices were not receiving email notifications when the document import process failed to run.
- When manually creating or updating a job, an issue has been resolved where selecting both a User-type Custom Field and another Custom Field did not save both values. Both Custom Field values are now saved as expected.
- We have resolved an issue where the ClientTaxNumber merge field didn't display the full tax number. The merge field now uses the tax number stored in FYI, ensuring the full value is populated where it is available.
For practices on the Elite plan:
- We have resolved an issue where credit notes synced from Xero Ledger were incorrectly displaying as Awaiting Payment in FYI, even though they had been paid. The correct payment status is now displayed in FYI.
- When editing an imported invoice and selecting a job, clicking the Save button will now save the Job correctly.
