We're excited to announce that the Forms feature is now available for all practices on the Elite plan.

Forms transform the way a practice manages client and internal information by providing a complete lifecycle for collecting and managing information. Practices can effortlessly collect and process information, ensuring consistency at scale and reducing manual effort with automations at every stage of your form workflow.

What does this mean for FYI users?

With practice branding, custom-built templates, dynamic merge fields, and automation processes, Forms transforms client information into actionable workflows, seamlessly and securely. Key features of Forms include:

  • Consistent Branding and Dynamic Templates: Create and manage Form templates directly in FYI, complete with practice custom branding to ensure a professional and consistent experience. Sample templates are available to preview and customise, assisting practices with getting started with Forms quickly.
  • Precise Data capture and Form customisation: Using standard Form fields, FYI data fields, and upload links, practices can customise templates to suit specific client groups, industries or services. 
  • Effortlessly Create and Share Forms securely: All users can create individual client or internal forms, or incorporate a Create Form step directly into your automation processes for maximum efficiency. Forms can be shared securely using unique form links or existing New Collaborate functionality, ensuring the process is efficient, familiar, and secure. 
  • General Forms for capturing broader information: Direct Links to Form Templates allow a practice to publish a General Form for surveys, feedback, or non-specific client submissions, for example, embedding on your practice website. These forms are all filed to FYI, making external data collection seamless.
  • Additional Dedicated Workflow Statuses: Additional workflow statuses can be used to manage reminders, follow up on outstanding submissions, and track the progress of work when form responses are received. The "Pending Submission", "Submitted", "Reviewed", and "Finished" statuses are available once forms are enabled and are applicable to all documents in FYI.
  • Elevate your Automations with Forms: Practices can create and send forms in bulk, automatically. Merge fields can be used to update client or job records based on form responses, ensuring client data is always accurate. When a form reaches the Finished workflow state, it is automatically converted to PDF and filed, completing the process and ensuring every form is securely finalised.
  • Dynamically display Form fields (Coming Soon): Form Rules allows users to adjust form templates dynamically, displaying the right question or fields, only when they are relevant, ensuring the precise information is collected. This feature is currently in beta, while we review feedback that will shape the final feature. 

Who is this available for?

Forms are available now to all practices on the Elite plan.

How does it work?

Our Feature Walkthrough provides a guided overview of Forms' key features. This video walkthrough demonstrates how to Build Form Templates with the Form Builder, use Forms internally to standardise processes, and send forms to clients automatically through FYI Automations.

Want to get started?

FYI Admins on the Elite plan can enable Forms from Practice Settings. Refer to Managing Practice Settings for Forms to get started.

An FYI Admin or user with Templates permissions can then build Form Templates or customise pre-built Sample Templates for your practice. Refer to Managing Sample Form Templates and Creating Templates for Forms
