Resolutions

  • We have resolved an issue where users were required to repeatedly log in to the FYI Office add-in. Users will only need to sign in once when opening an Office application for the first time and will remain logged in to that application.

New

  • We're excited to announce the following new integrations this month:
     
    • Cradle: A cloud-based phone system integration that enhances how practices manage client communication, and allowing staff to make and receive calls from anywhere. Calls are matched to client and contact phone numbers in FYI, creating and filing Phone Call Records automatically. All client interactions are accurately captured, including call transcripts to support record-keeping requirements. Refer to Announcing the integration with Cradle.
       
    • Waive: For Australian practices, this integration ensures ASIC-related documents are automatically synchronised into FYI, ensuring compliance records are consistently filed. Companies are matched using the ACN to eliminate duplicate data entry, and documents such as Annual Reviews, Invoices and Company Changes are configured to file to the preferred Cabinets. Refer to Announcing the integration with Waive (Australia only).
       
    • GovReports: A platform that enables Australian practices to manage tax lodgements and compliance. The integration allows our Australian practices to select tax documents and lodgement records to synchronise directly into FYI. Clients can also be bulk imported from FYI into GovReports using ABN or TFN details to match existing records. Filed document status updates in GovReports are also reflected in real time, reducing manual handling. Refer to Announcing the integration with GovReports (Australia only).
       
  • For practices on the Elite plan:
     
    • Reports can now be converted into templates using the new Convert to Template option in Documents lists. Users with Template permissions can select a report and either convert it to a new template or modify an existing report template, making it easier to reuse customised reports. When converted, all existing report data is removed, with a template created in draft, making it more efficient to standardise client reporting. Refer to Announcing the release of Convert Excel Reports to Templates.
       
    • A new Theme field is now available when creating or updating an invoice manually, allowing practices with multiple Xero Invoice Templates to select a different theme if required. By default, the Theme associated with the job template is selected. This can be changed, for example, if switching between a theme that summarises the invoice total, instead of detailing itemised costs of each job. If no Theme is selected and the invoice syncs to Xero, the first Theme in Xero Ledger is applied. For existing draft invoices, the Theme will not be pre-selected. Refer to Create a Progress, Final or Disbursement Invoice and Create an Interim Invoice.

Enhancements

  • For practices integrated with Xero Practice Manager:
     
    • We have enhanced the Custom Fields sync to support a two-way sync where FYI as Primary for Client Maintenance is enabled. Changes to Custom Fields made in XPM will now be synchronised to FYI using the bi-directional sync, when changes to Job or Client details are made in XPM, or during the weekend overnight Custom Field sync.

      Please note that due to a limitation with the XPM API, changes made in XPM to Client or Job Custom Field values, including by third-party integrations, will only be synchronised if there are also updates to the Client or Job Details. For example, if the Job State is updated, when a new job is created, or if a change made in FYI triggers a bi-directional sync. For Job Custom Fields, this also includes changes made by users directly in XPM.

      For full details on the new sync frequency, and triggering a sync of Custom Fields, refer to Synchronising Clients, Staff, Jobs, Time, Tax Returns with Xero Practice Manager.
       
    • We have included additional safeguards when disconnecting Xero Practice Manager (XPM) to help prevent accidental disconnections and unintended data duplication. The disconnect button has been updated to “Permanently Disconnect”, and users are now required to enter a confirmation phrase before proceeding. Refer to Disconnecting Xero Practice Manager
       
  • The Automation Processes List View now supports sorting across all standard columns. Users can click column headings to sort specific columns in ascending or descending order, making it easier to organise and locate automation processes in the list. Refer to Automation Processes.
     
  • The Create Email step in an automation process has been enhanced to handle scenarios where the Client does not have an email address. An error is now displayed when an email address is required but not provided. If no valid Client Email exists, the email will not be sent. If additional recipients are specified, for example, a new email is manually entered, the email will be sent to the valid address. Refer to Process Step Details - Create Emails and Documents.
     
  • We have enhanced the Practice Activity messaging when clients cannot be synchronised from your practice management system due to a missing client name. The error message now includes the number of affected clients and their client codes to assist with troubleshooting. Refer to Error "Clients Skipped as they do not have a name" in Practice Activity when synchronising Clients.
     
  • For practices in the UK, integrated with CCH we have made the following improvements:
     
    • New Number Custom Fields will synchronise to FYI as Decimal Custom Fields, ensuring that decimal values (for example, 1500.50) are synchronised correctly. Practices will need to perform a Flush Cache for existing Number Custom Fields synchronised from CCH to update to Decimal fields. Refer to Synchronising Clients, Users and Jobs with CCH Central (United Kingdom only).
       
    • When synchronising Jobs with Use Milestones as a Job State option enabled, and no milestone exists for the job, the Assignment status is used to determine whether the job is synchronised to FYI as Open or Closed. Jobs with an Assignment status of Closed are synchronised and imported or updated in FYI as "Closed", while jobs with an Assignment status of Open are synchronised and imported or updated in FYI as "Open". Refer to Synchronising Clients, Users and Jobs with CCH Central (United Kingdom only).

For practices on the Elite plan:

  • For practices with FYI as the Practice Management source, we have introduced two new User Group permissions for time. Refer to Managing User Groups.
     
    • Move Timesheets: When enabled, users can use Bulk Update to edit the Client and Job fields on submitted time entries, allowing WIP to be reallocated to other clients or jobs. The Edit Timesheets permission is also required to edit other fields or to use the FYI Drawer for other users' time entries. For existing practices, this permission will be automatically enabled for all User Groups where Edit Timesheets is enabled.
       
    • Practice Time: When enabled, users can access the Practice - Time list, including both chargeable and non-chargeable time entries. Users without this permission, but with View Timesheets enabled, will only be able to view chargeable time in other areas of FYI, such as the Client and Job workspaces. All users can still view their own timesheets from the Home workspace. For existing practices, this permission will be enabled for all User Groups. FYI Admins can disable this as required.
       
  • When creating an invoice, if the client has only one Billing or one Standard Job, the Job field is automatically populated, removing the need to select from the drop-down. Refer to  Create a Progress, Final or Disbursement Invoice and Create an Interim Invoice.
     
  • We have improved the messaging when enabling Forms. Once enabled, a message will appear to notify the user to stay on the screen while Forms is being enabled, ensuring the feature and sample templates are deployed successfully. Refer to Managing Practice Settings for Forms.
     
  • Specific messages are now displayed when attempting to upload a file to a Form, and an error occurs. To assist with troubleshooting, the messages displayed now specify the error scenario, such as files exceeding the size limit or having an invalid file type. Refer to Unable to upload files when completing a Form.

Resolutions

  • For practices integrated with Annature, FuseSign or DocuSign, where a client and contact share the same email address, the contact's name will be displayed in the bundle instead of the client's name.
  • We have resolved an issue where, for practices with FYI as Primary enabled, using the Address Search feature when editing a client could incorrectly insert a State/Region value for clients in the United Kingdom and New Zealand. Addresses are now displayed using the correct format.
  • We have resolved an issue with New Collaborate where selecting a new Microsoft Group in the Collaborate app settings would apply incorrect permissions to documents enabled for Co-Edit. The correct permissions are now applied.
  • We have resolved an issue where, when running a New Collaborate Status Check, a Guest User Reconciliation could not be rescheduled if a previous reconciliation had failed, for example due to an issue with the OneDrive Admin account. A new Guest User Reconciliation can now be scheduled successfully.
  • We have resolved an issue when running an automation, and Summary Notification links did not open a filtered Job View for the user. When clicking the job link, the Job list now displays only the jobs included in that automation run that still match the Filter view criteria.
  • For practices integrated with BGL or NowInfinity, we have resolved an issue where viewing errors in the Automations History tab caused the page to crash. Error messages now display, allowing users to troubleshoot process failures.
  • We have resolved an issue when synchronising documents to FYI from a third-party App, the Modified By field was left blank. This field now correctly displays the name of the third-party app.

For practices integrated with Xero Practice Manager: 

  • We have resolved an issue where new jobs could fail to synchronise correctly if there was an error with the Job State. The job is now created in XPM with all standard and Custom Field values, and the Job State is set to the default selected in XPM. The Job State can then be updated once the error has been resolved.
  • We have improved the performance of bulk time entry submissions. The sync process now reduces the risk of lock timeout errors and will retry where possible before displaying an error.

For practices on the Elite plan:

  • We have resolved an issue where Invoice Lists could fail to load when the list included invoices created against a historical Xero Ledger that had been deleted or renamed. Invoices are now displayed correctly.
  • We have resolved an issue where, when creating an invoice, typing in the Invoice Date or WIP Date fields could cause the page to refresh intermittently. Dates can now be entered manually or selected using the calendar dropdown.

  • For practices on the Elite plan, we have resolved an issue where editing a Draft Invoice and changing the Invoice Date would also update the WIP Date and recalculate invoice totals. Invoice totals will now only recalculate when the WIP Date is manually updated.

  • For practices on the Elite plan, when creating a multi-page Form, drop-down field values will now display when the field is added to additional pages.

New

  • For practices on the Elite plan:
     
    • Mixed Invoices can now be created, allowing time, disbursements and interim amounts to be combined on a single invoice. When creating a Progress or Final invoice, the Add Interim option in the Add Time window allows users to enter an interim amount for pre-billed work. For example, billing WIP for the current quarter while also adding an interim amount for the upfront payment for the next quarter's service fee, combined on one invoice.

      In addition, a new Show All Jobs option has been introduced to the Create Invoice drawer. When enabled, Billing or Workflow jobs that do not yet have time recorded will appear in the Selected Jobs section, allowing practices to select and pre-bill future work on a single invoice. Refer to Adding an Interim Amount.
       
    • A new WIP Date field can be selected when creating an invoice manually, or when using the Create Invoice step in an automation. Defaulting to the Invoice Date, the WIP Date can be selected from the calendar to assist with preparing invoices for specific billing periods. All available time entries up to and including the selected WIP date will be included on the invoice. For example, when preparing a December quarter-end invoice on 10 January, a WIP Date of 31 December can be selected to ensure any January time entries are carried forward. Refer to Create a Progress, Final or Disbursement Invoice.

      Note: The WIP Date of existing invoices will match the Invoice Date.

Enhancements

  • We have improved the Activity messages when emails have been autofiled, providing better visibility as to the filing rules applied.

    The Activity section of the Email Drawer now provides clearer details when an email is automatically filed using Filing Defaults, sent to an In Tray for review based on user or practice settings, or excluded by Exclusion rules. This also includes where AutoFile rules have been applied to threaded emails.

    Click on the Activity section of the Email Drawer to view the details. Refer to Understanding AutoFile Activity on an Email.
     
  • We have enhanced the synchronisation of Custom Fields for practices integrated with MYOB AO/AE. New Number Custom Fields will synchronise to FYI as Decimal Custom Fields, ensuring that decimal values (for example, 1500.50) are synchronised correctly. Practices will need to perform a Flush Cache for existing Number Custom Fields synchronised from MYOB to update to Decimal fields. Refer to Synchronising Clients, Users and Jobs with MYOB AE & AO (Australia & New Zealand Only).
     
  • For practices integrated with Xero Practice Manager: 
     
    • Following recent sync optimisations, we have removed the Sync Custom Fields from XPM option from the Xero Practice Manager Automation App in FYI.

      Custom Fields will now be synchronised between FYI and Xero Practice Manager automatically. The sync frequency will vary depending on the practice settings, for example, whether FYI as Primary for Client Maintenance is enabled. Refer to Synchronising Clients, Staff, Jobs, Time, Tax Returns with Xero Practice Manager.
       
    • We have introduced the ability to permanently disconnect Xero Practice Manager. Once disconnected, the Source will be updated to "FYI" for all Jobs, Clients, Users, Custom Field Definitions, and Time entries. Some features will be unavailable in FYI, for example XPM Workflow Jobs or the ability to manage some client fields. Updates will also need to be applied in some areas, for example to Signatures to remove the Author Mobile and Phone fields. Refer to Disconnecting Xero Practice Manager.

      Important: This function should not be used to reconnect Xero Practice Manager. Reconnecting to your current Xero Practice Manager account will cause duplicate data. To reconnect to XPM, refer to the Resetting your connection between FYI and Xero Practice Manager.
       
  • When synchronising documents to FYI from a third-party App, if the Owner does not match an existing FYI user, the Owner field will now be left blank. Use the Source column on the Documents List to view and filter documents synchronised to FYI. This change does not apply to Automation Processes where the Owner field has been manually applied. Refer to Searching for Documents.

For practices on the Elite plan:

  • The Date field displayed on the Invoice drawer has been renamed to Invoice Date to align with the invoice creation process. Refer to Opening and Editing Invoices.
     
  • For practices where Show Job By Client is disabled, we have improved the display of Jobs in the Billing Job drop-down when editing a Workflow Job from the Job Workspace. 

    This means if the client does not belong to a Client Group, the Billing Job field will only display active jobs for the current client. To select a job for a different client, begin typing in the field to search for the relevant job. This also applies when converting a Standard Job to a Workflow Job. Refer to Editing Jobs from the Job Summary.

Resolutions

  • When managing an Automation Process and adding a comment using a Merge Field, the Process - Activity tab will display the Merge Field in curly brackets so they are easy to identify.
  • We have improved performance when exporting data from FYI, for example, when synchronising jobs.
  • For practices integrated with IRIS or APS using the Practice Sync app, archiving a client in the practice management platform will trigger a cache refresh in Practice Sync. This ensures that future synchronisations will detect if the client is reactivated.

For practices on the Elite plan:

  • We have resolved an issue where creating time entries with decimal rate values caused the Actual Amount and WIP Amount calculations to be incorrect. When time entries are created, financial detail values are calculated correctly.
  • We have resolved an issue in the My Team tab where Actual and Expected Hours displayed the incorrect day due to time zone differences. Hours will now align correctly with the selected date range.
  • Forms containing fields without labels now display all fields when converted to PDF.
  • We have resolved an issue where users not assigned to a User Group with the Create Invoices permission were able to update the client or job on Credit Notes.

  • We have resolved an issue where active Automation Processes were incorrectly set to Draft status. All impacted processes have been restored back to an Active status.
