New
We're excited to introduce three new features for Pro and Elite practices:
-
PDF Management brings a powerful new way to work with PDFs directly in FYI, with editing, redaction, and collation PDF tools available directly in the platform.
From updating text and adding annotations, adding signatures, bookmarks, and watermarks, through to reordering pages, removing confidential information, and collating related documents across clients or entities. PDF Management gives users the flexibility to prepare PDFs for review, sharing, and signing.FYI Admins can set their practice's preference for opening PDFs from Practice Settings, while users can choose their own preferred option from My Settings. These PDF tools help users move from separate source documents to a polished, client-ready PDF package directly in FYI.
- We’ve introduced a new Secure Link feature, allowing practices to securely share sensitive documents and Forms with recipients by email. Before accessing shared content, recipients must verify the email address the content was shared with and enter a multifactor authentication code.
FYI Admins can configure Secure Link settings, including how long shared links remain available and the default email template used when sharing. The new Country of Origin setting also determines the default country FYI uses when a recipient’s mobile number doesn’t include a country code.
Secure Link activity is tracked in FYI, giving users visibility of key events such as when a verification code is generated, a shared document is accessed, and the Secure Link expires. Secure Link can also be used in custom processes to automate the sharing of documents and Forms.
- The StructureGram integration is now available to practices in Australia and New Zealand on the Pro or Elite plans. StructureGram is a diagramming tool for legal, accounting and finance professionals. It allows users to create client structure diagrams and family trees and file them to FYI clients and cabinets.
For practices on the Elite plan:
- We've released the Update Invoice process step, giving practices more flexibility to automate invoice management and reduce manual updates. Draft or Unfiled invoices can now be updated as part of an Automation Process, including filing Unfiled invoices, assigning invoices to Jobs, updating the Invoice Date or Custom Fields, changing an Unfiled Interim invoice to a Disbursement invoice, or deleting Draft invoices. Bulk Update can now also be used to update the Invoice Date or set the Invoice Status to Deleted for Draft invoices only.
To help practices get started, download and import the Custom process to automatically file invoices when a Job is found.
Enhancements
- We now display more recipient details when creating and editing emails in FYI, including in the Email drawer and the Create Email process step. For each recipient, you can now view their email address and mobile number, and the recipient source, for example, whether they are a client, contact, or internal user. The recipient source displays "Details unavailable" if the recipient has not been added to FYI. For automation processes, recipients will display "Mobile supported" when FYI can retrieve a mobile number for Secure Link verification.
- When adding guest users or sharing documents using New Collaborate, FYI now automatically creates an additional Visitors Group when the existing group reaches 4,000 members. This prevents the SharePoint 5,000-member limit from being reached, allowing practices to continue adding guest users and sharing documents. The Status Check has also been enhanced to support multiple Visitors Groups when reconciling identified user permission issues.
- We have added a CSV Export option to the Automations Processes list. FYI Admins and users with the relevant permissions can add, remove, and reorder columns, apply filters and sort orders, and export up to 10,000 results to a CSV file.
- When a task template uses a custom field for the assignee, the custom field is now included when importing and exporting automation processes.
-
Event automation filters for New Job, New Client, Update Job, and Update Client now allow you to apply a View to the filter so the process only triggers for selected records.
- We’ve updated the permissions for deleting, voiding and unlocking Invoices. These actions are now available to FYI Admins and users with the Approve Invoice permission.
- We’ve improved Practice Activity to allow users to copy a link to a selected entry from the drawer or toolbar so the direct link can be shared or pasted into other applications.
For practices on the Elite plan:
- We have improved the Practice Activity messages displayed when synchronising invoices and the Xero API rate limit is reached. FYI will automatically retry synchronising affected invoices once more rates become available.
- We’ve improved Client Time to allow users to copy a link to a selected entry from the drawer or toolbar so the direct link can be shared or pasted into other applications.
- In Practice Activity, the WIP Reconciliation entries now includes a Practice Ledger link in the drawer to open WIP Reconciliation in the Practice Ledger app.
For practices that were on the Secure Link beta:
- When verifying a recipient, Secure Link now checks only the email address and mobile number shown for that recipient when the email was sent. The client and contact Phone Number fields are now excluded. Secure Links shared before this update will send verification codes by email only. For documents shared using Secure Link after this update, verification codes will be sent by SMS or email accordingly. Internal Users receive verification codes by email only.
Resolutions
- We’ve resolved an issue with the Practice Sync app where Practice Activity incorrectly reported invalid email addresses for archived clients.

Enhancements
- We have enhanced the file upload process when submitting new and existing forms to help ensure files are uploaded successfully. This includes automatically renaming duplicate file names, removing invalid characters, truncating long file names and enforcing file size limits. Where files cannot be uploaded successfully, a message identifies the affected form fields and files. Users can attempt the upload again and re-save the form if required.
Resolutions
- We've resolved an issue with the NowInfinity integration where Practice Activity incorrectly reported authentication failure messages.
