Exporting Custom Processes

Custom Processes can be exported out of FYI, allowing practices to download a copy of the process from their platform. This is commonly used when a practice shares a process within their network of practices, or when practices are merging and automations need to be moved from one FYI platform to another.

When exported, a .zip file is created. This .zip file contains the exported process and related configuration, for example, templates, custom fields and views. 

Note: Automation Processes using Client - Select Filters can not be exported.

Exporting Custom Processes

Custom Processes can be exported individually or in bulk from the Automation - Processes list.

When processes are exported, FYI downloads a .zip file. The name and contents of the .zip file depend on whether a single or multiple processes are exported:

  • Single process:  A .zip file will be downloaded named after the exported process.
  • Multiple processes: FYI combines the selected processes into a single .zip file. The file will be named after one of the automations included in the export.

To export custom processes:

  1. From Automations - Processes, display the List View.
     
  2. Select the Process(es) that you want to export by ticking them in the List View. A toolbar will be displayed at the top of the List. 
    Tip: Right-click on the Process to display the toolbar as a pop-up.

  3. Click Export.

  4. A message displays to show the progress of the export.
     
  5. The Custom Processes are downloaded as .zip files.
    Tip: The zip files are usually downloaded to your Windows Downloads folder, but this may be to a different folder if your browser has been configured with a different default download directory.

Exported Fields

When a Custom Process is exported, certain fields and components are retained. Using the Automation Import Wizard this allows these fields and components to be mapped back into an FYI platform.

Custom Fields

Custom fields are included in exported processes that contain one or more of the following:

  • Selected as a field option in automation steps.
  • Used as a search field in a Look Up Client or Look Up Job step.
  • Used as a recipient in a Create Email step.
  • Used in an autocomplete condition in a Create Task step.

Note: For practices on the Elite plan, Custom Fields used in Forms are not exported.

Views

Process Filter views are exported. The exported view retains:

  • Advanced search criteria.
  • Specific Filter selections.
  • Column order.
  • Sorting and Grouping.

Note: Views are also exported when used in and Excel Report step.

Templates Document Templates are exported when they are selected in an automation step that uses a template. For example, Create Word or Create Email step.
Task Templates

Task Templates are exported when they are selected in a Create Task Step. The exported template retains:

  • Assignee
  • Due Date

Note: The Assignee details are retained when the assignee is selected as Partner or Manager.

Job States

Job States are included in exported processes that contain one or more of the following:

  • Used as a filter in a Look Up Job step.
  • Filtered in a Job View.
  • Selected in a Create Job step.
  • Selected in an Update Job step.

When imported, the wizard will attempt to match to an existing Job State name.

Note: New Job States cannot be created by the import.

Job Templates (Elite only)

The name of a Job Template is exported when they are selected in a Create Job or Update Job step.

When imported, the wizard will attempt to match to an existing Job Template name.

Note: New Job Templates cannot be created by the import.

Disbursement Rates (Elite only)

The name of a Disbursement Rate is exported when they are selected in a Create Disbursement step.

When imported, the wizard will attempt to match to an existing Disbursement name.

Note: New Disbursement Rates cannot be created by the import.
