Whether your team is managing client engagements, onboarding new entities, or processing high volumes of jobs and invoices, this month's updates are aimed at reducing manual handling and helping work move more efficiently through your practice.
We were eager to announce this month, a much anticipated new integration with Ignition, a proposals, billing, and payments platform designed to help practices manage client engagements and workflows. This integration allows client data to synchronise between FYI and Ignition, helping maintain consistency across both platforms.
The integration also supports automatic job creation in FYI when proposals are accepted in Ignition. This helps reduce manual setup and keeps workflows moving without interruption. For example, when a client accepts a proposal for annual compliance work or quarterly bookkeeping services in Ignition, the related job can be created automatically in FYI, allowing the team to begin work immediately without needing to manually create the job and apply templates or workflows afterwards. We’re also excited to announce that Annature Identity Verification is now available within the FYI and Annature integration. Practices can now send identity verification requests through Annature while managing verification workflows alongside digital signatures using client information synchronised from FYI.
Once verification is complete, the Certificate of Verification can be automatically imported and filed against the relevant client, helping practices maintain complete client records without additional administration. For example, when onboarding a new client, the verification certificate can be automatically stored against the client record in FYI, making it easier to locate supporting documentation during compliance reviews or future audits. We’ve also extended the AMLCC integration to Australian practices. AMLCC helps practices manage anti-money laundering obligations and client compliance requirements. Using the integration, client and contact information can be synchronised from FYI into AMLCC, helping ensure records remain accurate and up to date across both systems. This can be particularly useful when onboarding new clients or updating entity information during annual reviews. For example, if a client changes directors or contact details in FYI, the updated information can flow through into AMLCC automatically, helping reduce duplicate data entry and ensuring compliance records remain aligned. Using this integration:
- For practices integrated with Xero Practice Manager (XPM), verification details are also synchronised back to Custom Fields in FYI.
- For Elite practices using FYI as the Practice Management source, a disbursement can be automatically created once identity verification has been completed, ready to be included in client invoicing. This removes the need to manually enter verification costs before billing the client.
For practices using XPM, we’ve continued improving synchronisation reliability and error handling:
- When synchronising Client or Job Custom Field number values from FYI, warnings will now display in Practice Activity if the value exceeds Xero Practice Manager limits. A link is also provided to help users manually update the affected value where required. Refer to Xero Practice Manager Synchronised Fields.
- We’ve also enhanced the integration to automatically retry creating new jobs during manual and overnight synchronisation when rate limiting occurs. Practice Activity alerts will indicate when limits are reached and confirm when previously failed jobs have been successfully created on retry. This can be especially helpful for larger practices synchronising a significant number of jobs at once. Rather than requiring manual intervention the following morning, FYI will retry until the jobs are successfully created. Refer to Xero Practice Manager Rate Limiting.
- Job State names containing em (—) or en (–) dashes are now supported. Previously, these characters could cause synchronisation failures. Jobs containing these naming conventions will now synchronise successfully without interruption. This is particularly useful for practices with naming conventions that distinguish job names using dash formatting. Refer to Xero Practice Manager Synchronised Fields.
A Template column can now be added to Document lists, making it easier to identify which template was used to create a document. Where the template is Draft or Archived, the status will display alongside the template name. Users with Template permissions can also preview the template directly from the Knowledge workspace. Standard users will only be able to preview Active templates. Adding this column provides practices a quick way to identify the template used, helping confirm whether documents were created from the correct or latest template. For UK practices integrated with IRIS, we’ve improved error messaging when a client cannot be matched to a contact during synchronisation. Practice Activity now includes the Client Name and Client Code, making it easier to identify affected records and resolve issues more efficiently. This can save time for administrators managing large synchronisation updates across many clients. Refer to Error "Cannot find matching Client for Contact" when synchronising Clients.
We’ve also enhanced messaging for practices integrated with MYOB when the Accountant Responsibility Type custom field cannot be synchronised. Clearer error information is now displayed in Practice Activity, including a "Read More" option to assist with troubleshooting. This gives practices more visibility into why the synchronisation failed and what action may be required to correct the issue. For practices on the Elite plan, we continue to enhance features, with a focus this month time and invoicing:
- Permissions relating to invoicing have been updated to provide greater control over which users can move timesheets. Practices can now manage the Move Timesheets permission separately for user groups with Approve, View, or Create Invoices permissions. This gives you more flexibility when configuring access for different teams members. For example, a practice may want managers to review and approve invoices without allowing them to reallocate time between jobs, helping maintain tighter control over time management processes. - We’ve also expanded support for the View no longer matches option within an automation Stop step. Time, Employee, and Invoice filters are now supported, allowing automations to stop automatically when records no longer meet selected criteria. This can help practices build more responsive automation processes. Refer to Process Step Details - Stop.
- Finally, we’ve improved the WIP import process to help prevent incorrect billing information from being imported into FYI. Where both the Billable Rate and Billable Amount contain negative values, the time entry will not import and an error will display in Practice Activity. An Issue CSV file can also be downloaded to assist with troubleshooting. This helps practices identify problematic billing data before it affects WIP balances, invoicing, or reporting.
