The Web Search feature allows users to enable live web search for an individual AI Prompt step. When enabled, relevant information retrieved from web search results is added to the prompt context to assist the AI to generate a more informed response.

AI Web Search Overview
When web search is enabled for an AI Prompt step:
- The Web Search setting applies only to that individual AI Prompt step, not globally for all FYI AI steps in the process.
- Web Search allows the AI Prompt step to retrieve relevant web results and include them as context to the AI model.
- The quality of the generated response depends on the relevance of the prompt and the web search results returned.
If Web Search is not enabled, the AI Prompt step will not retrieve web search results, and will only generate a response based on the selected document, merge fields and other available context.

Enabling AI Web Search
When creating a Custom Process, add an AI Prompt step and enable Web Search:
- Click Add Step.
- Click FYI AI application and select AI Prompt from the list of functions, or edit an existing AI Prompt step.
- In the AI prompt window, toggle Web Search on to allow the step to use web search results as additional context when the step runs.
- Save the step. An entry is added to Practice Activity when this setting is enabled or disabled.
Using AI Web Search
The Web Search setting is saved as part of the individual AI Prompt step. This means different AI Prompt steps in the same process can use different web search settings, depending on how each prompt is intended to work.
Important Note: Web Search must be enabled for the AI Prompt step to use web search results. Otherwise, the AI Prompt step can only use the selected document, Merge Fields and other available prompt context.
When web search is enabled, the AI Prompt step can retrieve relevant information from external web sources and provide that information to the AI model as part of the prompt context.
- A search query is generated based on the prompt configured in the AI Prompt step. For example, the prompt may request to search and analyse a new client's website and public information to generate a structured summary of their business activities to support onboarding.
- The AI Web Search uses the prompt context to produce an informed response. For example, inserting the prompt response as a File Note in FYI.
Tip: Always review AI-generated responses before using them in Emails, Tasks or other client-facing documentation.
Running AI Web Search without a document
When Web Search is enabled, the Document field related to the AI Prompt step is not mandatory. This allows users to run prompts that rely on web search or prompt instructions without selecting a document.
