Practice Activity

Practice Activity provides a centralised view of key updates to FYI, Xero Practice Manager, and other integrated apps. It highlights important events, such as errors, warnings, service interruptions, and delays. 

Practice Activity Views can be used as a Filter in Custom Automation Processes. For example, a Summary Notification step can be used to notify users about specific events, for example where an event has a status of Failure or Action Required. 

Note: Information on individual items, for example a document or job, are displayed in the Activity section for the relevant item.

Accessing Practice Activity

Practice Activity is accessed from the Practice menu option, and is available only to FYI Admins, or a user in a User Group that has Permissions enabled for Practice Activity.

Practice Activity is displayed as a list, offering users the ability to add and remove columns, filter the data, and save the views.

Right-click on a field to copy the contents of that field, for example, the details.

Function Details
View Selector

Used to select between default and custom views. Default views appear at the top, with a divider separating the custom views at the bottom.

The selected view will be the default for the current user for the rest of the session, or when you log out and log in again. When a new view is selected, it will become the new default. Refer to Sticky Views.

A Practice Activity View can also be selected as a Filter in a Custom Process. Refer to Custom Processes using Views and Summary Notifications.

Refreshes Practice Activity to display the latest information.

Allows users to save a custom view, or reset the view to the default settings.

Columns

Function Details
List icon

Hover over the column heading and click the List icon. The following options will become available:

  • Pin Column: One or more columns can be pinned to the left or right, similar to Excel's "Freeze Panes". Pinned columns are indicated by a vertical line in the list.
  • Autosize This Column: Adjust the selected column width to fit the contents.
  • Autosize All Columns: Resize all columns currently displayed to fit the contents.

Note: Autosizing and pinned columns will reset to default settings upon leaving the list or changing views, unless the view is saved with the changes made.

Filter icon

The Filter icon is displayed as a funnel with three horizontal lines.

Click the icon to filter the options as required, or click Reset to return to the default settings.

When a column has been filtered, the Filter icon will be displayed in green.

Note: If the icon is not displayed, that column cannot be filtered.

Column Order Drag and drop the column heading to change the order in which columns are displayed within that list.
Column Width Drag the edge of the column heading to increase or decrease the width of the column.
Tip: Double-click the edge of the column to automatically resize the width to fit all contents.
Adding Columns

Click the Columns tab on the left-hand side. Columns that are saved in the current view are displayed in alphabetical order.

Search and tick additional columns in the list to add the Column to the view. 

Tip: You can search for columns at the top of the Columns tab. 

Removing Columns

To remove a column from the list:

  • Click the Columns tab on the left-hand side. Untick columns to remove them from the view, or
  • Drag the column anywhere off the list area. The column will be removed and will display as unticked in the Columns tab.

Columns Tab

Displayed on the left-hand side of the list.

Click the Columns tab to expand the tab. Columns that are saved in the current view are displayed in alphabetical order and with a Green tick. Additional columns that can be included in the list are displayed as unchecked.

Tip: The width of this section can be dragged left or right.

Filter Tab

Displayed on the left-hand side of the list.

Click the Filter tab to expand the tab. Click and expand the column you want to apply the filter to.

The filter icon displays next to any columns that currently have a filter.

Status

The Status is used to indicate whether an event was completed successfully, is still in progress, or requires attention.

App

The app that triggered the event.

Details

The Details column includes more information on the event, showing how many changes were made, or information on any errors recorded.

User

The user responsible for the event. 

User can be filtered both by practice staff and external systems. For example, where practices are integrated with Xero Practice Manager, the "Xero" user will be displayed. External systems are displayed first in the filter, followed by the users.

Note: Users from apps not currently connected to FYI will be available to select, to ensure historical entries can be filtered if required.

Modified On

The date and time of the event.

Practice Activity drawer

Clicking on an entry in the Practice Activity displays the drawer with a summary of what was processed. This is useful to see the details of any activities that have failed or that are still in progress. 

Using Practice Activity

Status

Events display with the Status of "Success", "Failure", "In Progress", "Action Required" or "Alert".

Failure

An event that was unable to be processed to completion.

Where updates have been made in a batch, events with a status of Failure will be displayed separately from Success events.

Action Required

An event requires attention from the user, for example, an authentication error with an integrated app. If action is not taken, more errors will likely be reported.

Where updates have been made in a batch, events with a status of Action Required will be displayed separately from Success events.

Alert

Used for events where important changes have been made in FYI, such as changes to the Practice AutoFile defaults or Email AutoFile settings.

Details

The Details column includes more information on the event, showing how many changes were made, or information on any errors encountered.

  • Processed - The number of bulk updates processed successfully.
  • Errors - The number of updates that failed to sync to Xero Practice Manager. Click the row to display the Activity Drawer, and view more details on the failures with reasons. Click the Retry option to resync the entire batch. Note that this will reduce the daily available requests for XPM, refer to Xero Practice Manager Rate Limiting.
  • Pending - The number of bulk updates still in the process of synchronising. The results will be updated in the automation history.

Resubmitting a "Failure" Status Event

Where an event has a Status of "Failure", if there is an action that can be taken to correct the failure, in the drawer the event shows the Resubmit button.

For example, if a Job has been set to a Job State that exists in FYI but has not yet been synced to Xero Practice Manager, this will show as a "Failure" in the Practice Activity.

Selecting the event in Practice Activity displays the drawer with a detailed message, for example, "Need to add the relevant state to xpm and resubmit the job".

For a failed event that cannot be resubmitted, the Resubmit button is not available. For example, if a Job has been set as completed in Xero Practice Manager before a Time Entry has synced for it, this will show in Practice Activity as a "Failure" but cannot be resubmitted.

Check Automation Activity and Retry

You can click on an "Alert" event to display the Activity drawer. The Details section will provide more information about the event, and include buttons to Check Automation Activity and Retry

  • Check Automation Activity - You will be redirected to the Process History, where a list of successes and errors will be displayed. Refer to Process History and Activity.
  • Retry - You will be able to retry the activity that failed. For Xero Practice Manager, this will synchronise the entire batch, reducing the daily available requests. Refer to Xero Practice Manager Rate Limiting.

"Action Required" Event

You can click on an "Action Required" Event to display the drawer and click the Go to App button to open that App in the Automations - Apps, for example, to check the connection.
