This month brings a range of practical improvements designed to make day-to-day work smoother and more reliable. From stronger integrations and smarter synchronisation to clearer visibility across emails and documents, these enhancements are aimed at reducing manual effort and helping your team stay focused on client work. We’ve also introduced a new integration for practices in Australia and New Zealand, expanding how FYI connects with your broader workflow.
For Australian and New Zealand practices, a new integration with Zato, was added this month, boosting the efficiency and workflow for practices. This platform manages workpapers, journals and reconciliations and with this integration, Jobs and Documents can be synchronised, helping keep information consistent across systems. For practices managing compliance and audit work, this reduces the need to manually align information and supports a more connected workflow across their platforms. When working with emails, we’ve continued to improve the visibility of AutoFile activity in the Email Drawer. When an email is filed automatically, either through an Automation Process or AutoFile settings, the activity now clearly shows how and why it was filed. This is especially helpful in practices where multiple filing rules are configured, giving confidence that emails are being categorised as expected without needing to check settings. The Source filter in the Documents List has better distinguishes between documents and different types of emails. Rather than grouping everything together, the filter now allows you to narrow down documents based on how they were created or where they originated. For example, you can separate emails created within FYI from those coming from Outlook, identify draft emails filed before sending, or view items generated through automations. This makes it easier to locate specific information, particularly in a view where documents and correspondence are managed together. Refer to Searching for Documents.
For practices integrated with Xero Practice Manager (XPM), several improvements have been made to both the Client and Job synchronisation. Refer to Synchronising Clients, Staff, Jobs, Time, Tax Returns with Xero Practice Manager
- When Client creation is delayed due to rate limiting, we will now automatically retry the synchronisation. A message will display in Practice Activity to indicate when rate limits are reached and confirm when the client has been successfully created after the retry. This means that if you're onboarding new clients or updating records during busy periods, the sync will continue to retry in the background.
- Where Job details are incomplete or invalid, FYI will now correct specific information so that the sync can progress without error. For example, if a job is missing a name, this will be synchronised with "No Name" as the Job name. Inconsistent dates are adjusted, for example if the Due Date is earlier than the Start Date, the Due Date will be updated to match the Start Date.
For practices integrated with APS, Custom Field synchronisation has been improved to better support numeric values. Number Custom Fields will now be brought into FYI as Decimal Custom Fields. Practices with existing fields will need to perform a Flush Cache to apply this change. Refer to Synchronising Clients, Matters and Users with APS (Australia & New Zealand only).
This month we continued to enhance Practice Activity messaging to make it easier to identify and resolve issues when client data can't be synchronised. So you can quickly pinpoint and rectify relevant issues, Practice Activity error messages include the Client Name and Client name in the following scenarios:
- For practices integrated with APS, CCH, MYOB or IRIS when a Tax, IRD or VAT number fails to sync due to exceeding the 20 character limit. Refer to Error FYI-2269 "The Tax/IRD/VAT number exceeds the 20-character limit." Error FYI-2269 "The Tax/IRD/VAT number exceeds the 20-character limit."
- For practices integrated with MYOB or APS, when a client cannot be found for a contact during synchronisation. Refer to Error "Cannot find matching Client for Contact" when synchronising Clients.
For practices on the Elite plan, where FYI has been enabled as the Practice Management source, new features and further improvements were made to the time and invoicing feature, including:
- Managing time entries becomes more flexible with the ability to update the Time Type using Bulk Update. This allows multiple entries to be updated in one action, for example when adjusting time from Chargeable to internal or non-productive categories. Once updated, any job recalculations are processed to ensure financials remain accurate, and the changes are recorded in the Activity Log. Note that Interim and Disbursement entries are excluded from updating the Time Type as these must remain as Chargeable. Refer to Time and Disbursements Bulk Update.
- The process in which Interim Time Entries are calculated when reconciling against invoices has been refined. Instead of creating additional entries, the process now updates existing interim time entries so that totals align with the invoice amount. This helps prevent duplication and keeps job totals consistent, particularly when reviewing WIP or preparing billing. If a time entry cannot be updated, for example if it has already been locked or invoiced, it will remain unchanged and display a message in Practice Activity to guide the next steps to reconcile. - When creating invoices for Standard Jobs, the Amount field can now be edited directly, with totals recalculating automatically as changes are made. The Invoice Description field has also been expanded to allow 4,000 characters, allowing more detailed information to be included where required, such as breaking down work performed or providing additional context for clients.
