Enhancements
- For practices integrated with Zapier, we have introduced new actions, Look Up Client and Look Up Job. These actions will search and retrieve a client or job from FYI respectively, removing the need for practices to create a client or job earlier in the zap. The client or job found in FYI can be used in further actions, for example, creating and filing documents to existing clients. Refer to Integration with Zapier.

New
- For practices on the Elite plan, we are excited to release the new Convert Excel Report to Template Beta, available to users with Templates permissions. A new Convert to Template option will be available in the Documents list, enabling reports to be converted into a new template or used to modify an existing template, making it more efficient to standardise management and client reporting. Refer to Converting Excel Reports to Templates (Beta) for more information and details on how to sign up to the beta program.
Enhancements
- We have made the following improvements to New Collaborate:
- Practices can now choose whether emailed links are personalised when sharing documents or links to the Collaborate site or Upload folder. A new Personalised Links option has been introduced in the Collaborate - Client app. This setting also applies to all links to Client Secured Collaborate sites.
When enabled, links are personalised to automatically select the recipient account when accessing the New Collaborate site. When disabled, the site instead uses the Microsoft account currently signed in. If that account does not have access, the user will be unable to continue.
This setting is enabled by default and can be disabled for practices that do not wish to customise links. Refer to Configuring your Client Collaborate Settings.
- When emailing personalised links to New Collaborate using Merge Fields, the format used to display links has been improved.
- Document links are now displayed in a single list, with the document name shown as the clickable link. Where there are multiple recipients, documents are grouped by recipient.
- Collaborate Site and Upload Folder links now display "Collaborate Site" or "Upload Folder" as the clickable link. Where there are multiple recipients, the recipient is shown first, followed by the clickable link.
If the new Personalised Links option is not enabled, a single link will be displayed for each document or folder for all recipients. To view examples, please refer to Setting up Collaborate Email Templates.
- When importing documents from a client's Upload folder, the Documents List "Source Path" column will display the location the file was imported from. Please note this includes files already imported to FYI. Refer to Receiving Documents from the Upload Folder.
- Practices can now choose whether emailed links are personalised when sharing documents or links to the Collaborate site or Upload folder. A new Personalised Links option has been introduced in the Collaborate - Client app. This setting also applies to all links to Client Secured Collaborate sites.
- We have introduced the ability to clear the default Cabinet for clients using Client Bulk Update and the Update Client automation step. When the Cabinet field is cleared, any category options selected for the client will also be removed, and the Client - Activity tab will record the changes. Please note that existing automations will not be impacted by this change. Refer to Client Bulk Update and Process Step Details - Creating and Updating Clients.
- The Clients List now supports filtering the Cabinet by "(Blank)", making it easier to identify clients where a default Cabinet has not been selected. These clients can then be updated to select a Cabinet, using Clients Bulk Update or the Update Client automation step, to enable automatic filing of new emails, documents, and tasks to the selected Cabinet. Refer to Sorting and Filtering Lists.
- You can now add Comments on using the Create Job or Update Job automation steps. A new "Comments" section is available at the bottom of each step and supports Merge Fields to dynamically populate comments, for example tagging the Job Partner or Manager. Comments are displayed in the Jobs workspace on the Comments tab. For existing automations, or when creating a new automation, comments will be toggled off by default. - For practices integrated with Xero Practice Manager, once enabled, the Sync Custom Fields from XPM setting cannot be disabled. This will maintain data integrity and prevent any data discrepancies when synchronising custom fields. Refer to Connecting Xero Practice Manager.
- For UK practices integrated with IRIS, when an existing custom field is renamed in IRIS, the updated name will now automatically be updated in FYI on the next scheduled sync. This ensures that duplicate fields and existing data is not affected. Refer to Synchronising Clients, Jobs and Users with IRIS (United Kingdom only).
- For practices on the Elite plan, in addition to a Practice Activity alert, users will now receive a notification if a report fails to generate. The user who generated the report will receive a failure notification in Home - Notifications. Refer to Creating Reports from Excel Report Templates.
For practices on the Elite plan using Forms (Beta):
- When a form includes fields that were hidden based on conditional rules, those fields are now also hidden when the form is converted to PDF. This ensures the PDF accurately reflects the submitted form. Refer to Converting Forms to PDF (Beta).
- We have improved the messaging when an error occurs during a form submission. If a submission fails, an Action Required event will be recorded in Practice Activity, including a link to the form, making it easier to identify and resolve any issues that occur. Refer to Alert "Form submission processing failed" displays in Practice Activity.
Resolutions
- We have resolved an issue when running a Bulk Export via AWS where documents did not export into the correct folder structure when the Client Export Code was included in the Structure list. Documents for all clients with an Export Code are now included as expected.
- When running an Automation process using the CSV Data Import filter, Job Numbers are now matched correctly when there are a large number of jobs in FYI.
- For practices integrated with XPM, Job and Client custom fields are now correctly populated when concurrent automation updates and custom field syncs occur. In this event, the automation values are now retained.
- For practices integrated with APS, CCH, IRIS or MYOB, we have resolved an issue where Practice Activity alerts were generated every time a sync occurred when email addresses contained invalid formatting. These alerts will now display error messages once every 24 hours.
- For practices integrated with FuseSign, we have resolved an issue where the Partner or Manager phone and mobile merge fields in email templates did not populate when documents were sent to clients. These fields now display when sending documents using the FuseSign integration.

- We have introduced a new Automation Step, Look Up Client, which finds a client in FYI using one or more search filters, for example, Email, FYI Client ID, or Client Code. The matched client can then be referenced in subsequent automation steps, such as refiling a document. Refer to Process Step Details - Look Up Client.

Enhancements
- We have optimised the New Collaborate Status Check to include a Guest User Reconciliation, available for both Client Collaborate and Client Secured Collaborate sites. This means that when a Status Check is initiated, guest users across FYI, Microsoft Entra and SharePoint are reconciled and reported in Practice Activity. Refer to New Collaborate Status Check Overview.
- We have made the following improvements to Automations:
- We have introduced an additional option to the Stop Process Step, Field conditions met. This option allows practices to create conditions based on specific fields and values to prevent a process from continuing. For example, if a specific Job Custom Field is set to “False”, the process will stop and no further steps will be run. Refer to Process Step Details - Stop Step.
- We have improved the Alter Document step to provide greater control over document filing when AutoFile is disabled. Practices can now select a Client, Job or Keywords directly within the filing section, with merge fields available to dynamically populate specific fields. Merge fields are also now supported for Cabinet and Categories. Refer to Process Step Details - Alter Document.

When a Convert to PDF step encounters issues with authentication, specific warning and error messages will display in Automation Process History. When all authentication attempts have failed, the name of the automation owner is included, making it easier to troubleshoot authentication errors. Refer to Process Step Details - Convert to PDF.
- We have introduced an additional option to the Stop Process Step, Field conditions met. - For practices integrated with MYOB Practice Management (formerly GreatSoft), we have enhanced the error messaging displayed in Practice Activity when connection issues occur. The integration will remain connected and Practice Activity will now display a message prompting practices to disconnect and reconnect the integration if required. Refer to Connecting MYOB Practice Management (formerly GreatSoft).
For practices on the Elite plan:

Employee emails and attachments can now be manually filed to the Employee Cabinet from the In Tray in FYI, or from Outlook using the FYI Add-in. This feature is available to FYI Admins and users assigned to a User Group with either Employees - Access or Employees - Management permission enabled. After selecting the Employee Cabinet in the Drawer, the Employee search field is displayed, allowing users to select the relevant employee and update any other filing details. Refer to Filing Emails to Employees.
- When creating Excel reports, either manually or using an FYI Excel Master Report Template, the Include All Columns toggle is now disabled by default to improve reporting performance. For existing practices, this change has also been applied to all FYI Excel Master Report Templates, ensuring consistent behaviour across both new and existing practices. Users can still enable the toggle manually, when required. Refer to Creating Reports from Excel Report Templates and Managing FYI Excel Master Report Templates.
- When users with Create Automation permissions run a Report, the user will be automatically redirected to the Automation History tab, where they can view the real-time progress and completion status of the report. Note that users will also continue to receive a notification once the report has been generated. Refer to Creating Reports from Excel Report Templates.
- The WIP Import functionality has been improved to provide clearer errors when particular information can not be imported. The downloadable WIP CSV Import report now includes additional validation errors, such as invalid or missing values, unsupported date, job summary, or time formats, and exceeded character limits. Users with access to Practice Activity can select Read more to download the report, making it easier to identify and resolve any issues that occur. Refer to Error FYI-2252: Issues encountered during the WIP import.
Resolutions
- We have resolved an issue when sharing documents using New Collaborate with multiple recipients where the documents belonged to different clients within the same Client Group. Access to the documents is now granted correctly for all recipients.
- We have resolved an issue where the Convert to PDF step of an automation failed with a "User not found" error when the automation owner had been deleted. If an automation owner has been deleted, the Convert to PDF step now completes successfully, and the PDF document is assigned to the Practice Admin, whose authentication was used when the process was run.
- When updating numerical custom fields during an Automation Process step, decimal custom fields can now be updated with negative values. For practices integrated with Xero Practice Manager, the negative decimal value now synchronises correctly as a negative amount in XPM.
- With the introduction of the Onboarding Checklists in FYI Guide, the Prework Automations and Prework fields in Users lists have been removed for existing practices and will no longer deploy for new practices.
For practices on the Elite plan:
- We have resolved an issue where Excel reports could take over an hour to refresh. When clicking Refresh Report data, the time taken to refresh the data has been significantly reduced, and the report will refresh successfully.
- When a time entry is updated from a Chargeable type to another time type, job recalculation and WIP are now correctly updated. Note that this change applies to any new time entries that are edited. Any existing time entries already affected will not be automatically corrected and may require the user to manually update the time entry.
- When uploading a WIP Import CSV file, any billable amounts that include a dollar or pound symbol are processed correctly, with the currency symbol ignored and the amount imported successfully.
- We have resolved an issue when two time entries were created in parallel for the same job, causing an error, "Error creating timesheet - staff member not assigned to job".
