This month, we’re excited to introduce several new features and enhancements designed to make FYI even more intuitive and connected. From smarter learning support, to improved data synchronisation and workflow flexibility. This month FYI continued to evolve to meet the needs of accounting teams across every role.
This month, we were eager to announce the release of FYI Guide for all practices. This in-app learning and support tool provides an intuitive way to explore FYI features through interactive checklists, guided walkthroughs, and direct links to key learning resources. It’s ideal for onboarding new team members or supporting users who want to expand their knowledge at their own pace.
With FYI Guide, users can complete learning checklists, follow step-by-step activities, and access Learning Paths, Feature Updates, and Webinars on Demand – all from within FYI. The built-in News tab keeps teams informed of the latest product updates and events, helping practices stay current without leaving the platform. Refer to Announcing the release of FYI Guide.
For practices integrated with Xero Practice Manager, the Optimised Custom Field Sync functionality for Client and Job Custom Fields is now available to all eligible practices. These enhancements improve accuracy and control when maintaining Client and Job Custom Fields between FYI and XPM.
Updates to Client or Job Custom Field values in FYI now trigger a bidirectional sync, ensuring that changes are reflected consistently across both systems. This prevents discrepancies when users update details in either FYI or XPM, maintaining a single source of truth across your client information. To complement the new bidirectional sync, an overnight sync of all Custom Field values will now run on Friday, Saturday, and Sunday nights AEST or GMT, depending on your location. Please note, this does not apply to practices where FYI as Primary for Client Maintenance is enabled. Refer to Optimised Custom Fields Sync
FYI Admins and users with Create Automations permission can now set any workflow status within applicable process steps, without requiring Approval Level to be set in their user profile. This allows practices to design approval workflows with automations that reflect their internal processes without additional user profile configuration. Refer to Managing User Groups.
In addition, the Run Again function for Automation Processes now restarts a stopped automation using the latest settings, rather than a previous version, ensuring that updates are always applied correctly. Refer to Running Custom Processes.
To improve security and reduce setup errors, New Collaborate now identifies internal users within your practice. This prevents internal users from being added through the Share Settings in FYI from the Client - Collaborate tab, helping practices maintain accurate sharing permissions. Detection now uses Microsoft Entra to confirm the user type, and if a user's type is set to "Member", FYI automatically recognises them as an internal user. This ensures consistent behaviour across practices, even where email domains differ from the OneDrive Admin account. Refer to Error FYI-2214 "Internal users cannot be added to Sharing Settings".
For UK practices integrated with IRIS, when syncing National Insurance Contribution Number (NI/NIC Number) fields, these will now be synchronised to a dedicated NIC Number custom field in FYI, rather than the VAT field. If an NIC Number custom field does not already exist, it will be created automatically and populated during the sync, ensuring client data is always accurate. Refer to Synchronising Clients, Jobs and Users with IRIS (United Kingdom only).
Additional enhancements were made this month to Practice Sync clients. For practices integrated with IRIS, CCH, APS or MYOB, when syncing client records, any email addresses with invalid formatting, such as emails containing unsupported characters, will be ignored. The client record will still sync to FYI, and an error will display in Practice Activity. Users will be able to click the Read More link to view additional information to assist with troubleshooting the error. It is recommended that practices should review their Practice Activity notifications and update any incorrect client email addresses in their Practice Management System, to ensure their client data is consistent across both platforms. Refer to Error FYI-2667 "Invalid email for (user name)."
For practices on the Elite plan, the focus this month was on enhancing the Jobs feature. Workflow Jobs can now be assigned to a different Billing Job, making it easier to transition to the Elite plan and configure jobs accordingly. When assigning a Workflow job to a different Billing job, if your practice has enabled Show Jobs by Client, only the Billing Jobs for the current client will be displayed.
In addition, within Jobs Practice Settings, we’ve introduced a new Refile Clients with Job setting. This allows practices to determine whether the client should also be updated to match the new Billing Job client when the Workflow Job is reassigned. If this setting is enabled, all time entries, disbursements, and tasks related to the Workflow Job will also be moved to the new Billing Job client. Documents will also be refiled, unless shared via Collaborate or are currently being edited internally or co-edited externally. If the Refile Clients with Job setting is not enabled, the Workflow Job will be assigned to the new Billing Job, and no changes will be applied to the client or associated items.
