Resolutions

  • The enhancement released on 23.10.25 regarding Optimised Custom Field Management functionality for Xero Practice Manager has been temporarily reverted. This includes the functionality to automatically rename new Custom Fields where the name matches a Custom Field already in FYI, and automatically recreate deleted Custom Fields.

New

  • We’re excited to announce the release of FYI Guide for all practices and users. This new in-app learning and support tool helps users explore and use FYI more effectively through interactive checklists, guided walkthroughs, and direct access to key learning resources.

    With FYI Guide, users can follow step-by-step activities, complete learning checklists, and access Learning Paths, Feature Updates, and Webinars on Demand, all from within FYI. The Guide also includes a News tab for the latest updates and events, and supports self-paced learning for onboarding or users wanting to learn new features or capabilities.

    To start using FYI Guide, click on the new tab in the bottom-right corner of FYI. Refer to Announcing the release of FYI Guide.

Enhancements

  • For practices integrated with Xero Practice Manager, the Optimised Custom Field Sync and Management functionality for Client and Job Custom Fields is now available to all eligible practices following completion of the staged rollout. 

    Updates to Client or Job Custom Field values in FYI now trigger a bidirectional sync, performing an additional check for any modified Custom Fields in XPM for the relevant client or job. To complement the new bidirectional sync, an overnight sync of all Custom Field values will now run on Friday, Saturday, and Sunday nights AEST or GMT, depending on your location. Please note, this does not apply to practices where FYI as Primary for Client Maintenance is enabled.

    Custom Field definitions deleted from XPM will now be automatically recreated to prevent errors or invalid data in FYI, including in Views and Automation Processes. Users should delete Custom Fields from FYI only. When synchronising new Custom Field definitions from XPM, FYI will automatically rename the Custom Field if its name matches an existing one.

    For FYI Admins, the Practice Settings Custom Fields list has been updated with a new column, XPM ID, which can be added to the list. In addition, a new Open in PM button is now available in the Custom Field drawer to open the Custom Field settings in Xero Practice Manager.   • For UK practices integrated with IRIS, when syncing National Insurance Contribution Number (NI/NIC Number) fields, these will now be synchronised to a dedicated NIC Number custom field in FYI, rather than the VAT field. If an NIC Number custom field does not already exist, it will be created automatically and populated during the sync. Refer to Synchronising Clients, Jobs and Users with IRIS (United Kingdom only).
     
  • For practices migrating time and invoices from MYOB AO/AE (Beta), we have enhanced the synchronisation of Invoices. To ensure more precise data is synced, invoices will be synchronised by matching Client ID, instead of Client Name. Refer to Migration of Invoices from MYOB AE/AO to FYI and Xero Ledger (Beta)

Resolutions

  • We have resolved an issue where running an Automation from the Jobs List for an archived or unmatched client caused an error to display.
  • We’ve improved the performance of Automation Steps that create or update Invoices, Time, and Disbursements to improve reliability and reduce errors.
  • For UK practices integrated with IRIS, we have resolved an issue where practice activity alerts were generated every time a sync occurred when a Client Custom field could not be mapped to a client. This alert will now display an error once every 24 hours, and the error message has been updated to include the client name for easier troubleshooting.
  • Documents migrated to FYI without a Workflow Status will now appear in the Document List when filtering by Workflow "Not Started".
  • For practices on the Elite plan, we have resolved the following:
    •  When creating time or disbursements for Workflow Jobs, if no Client or User rate has been specified, the default rate from the Billing Job will be automatically applied.
    • When invoices sync to Xero and the Invoice Amount is subsequently updated in Xero, the PDF Invoice in FYI will now sync and display the updated Invoice Amount.
    • Where an Excel Report Template has been modified to include XLOOKUP or FILTER formulas, the report can now be generated successfully. The formulas will remain unchanged.
    • We have updated the Time Report template to remove the Timesheet Status column, which is no longer required. Refer to Managing FYI Excel Master Report Templates to download the latest version.

Resolution

  • The resolution on 09.10.25 regarding invalid email addresses during client record sync (IRIS, CCH, APS, MYOB) has been reverted. Errors relating to invalid email addresses will no longer appear in Practice Activity.

    Practices should continue to ensure a valid client email address has been entered in their Practice Management System.

New

  • For practices on the Elite plan, Workflow Jobs can now be assigned to a different Billing Job. If the practice has enabled Show Jobs by Client, only the Billing Jobs for the current client will be displayed. If this setting is not enabled, any Billing Job within the Client Group can be selected.

    Within Jobs Practice Settings, we have introduced a Refile Clients with Job setting. This allows practices to determine whether the client should also be updated to match the new Billing Job client when the Workflow Job is reassigned. If enabled, all time entries, disbursements, and tasks related to the Workflow Job will also be moved to the new Billing Job client. Documents will also be refiled, unless shared via Collaborate or are currently being edited internally or co-edited externally.

    If the Refile Clients with Job setting is not enabled, the Workflow Job will be assigned to the new Billing Job, and no changes will be applied to the client or associated items.

Enhancements

  • We have enhanced the Run Again function for Automation Processes to ensure that when an automation is stopped and then updated, selecting Run Again will restart the process using the latest automation settings, rather than the previous version. Refer to Running Custom Processes.
     
  • Users with Create Automations permissions can now set any workflow status within applicable automation steps, without requiring Approval Level to be set in the user profile. This enhancement streamlines the setup of automations, making it easier to manage process steps that require approval levels. Refer to Managing User Groups.
     
  • We’ve enhanced how New Collaborate identifies internal users within your practice. This prevents internal users from being added through the Share Settings in FYI from the Client - Collaborate tab.

    For FYI Admins and IT teams: previously, detection was based only on whether the user’s email domain matched the OneDrive Admin user’s domain. With this update, an additional check is performed in Microsoft Entra. If a user’s Type is set to Member, they will now be recognised as an internal user. Refer to Error FYI-2214 "Internal users cannot be added to Sharing Settings."
     
  • For practices integrated with MYOB Practice Management (formerly GreatSoft), if the connection is lost and cannot be refreshed, an error will be displayed in Practice Activity. Users will need to reconnect the integration to resolve the issue. Refer to Connecting MYOB Practice Management (formerly GreatSoft).
     
  • For practices integrated with IRIS, CCH, APS or MYOB, when syncing client records, any email addresses with invalid formatting, such as emails containing unsupported characters, will be ignored. The client record will still sync to FYI, and an error will display in Practice Activity. Users will be able to click the "Read More" link to view additional information to assist with troubleshooting the error. 

    Practice should review their Practice Activity notifications and update any incorrect client email addresses in their Practice Management System. Refer to Error FYI-2667 Update the email address to a valid format in your integrated practice management platform.

Resolutions

  • We have resolved an issue where, in certain cases, creating an email prompted users to select a Send Attachments method when no attachments were included.
  • Where a client's name has been updated, using the {{ ClientName }} Merge Field will now insert the updated name correctly.
  • When bulk exporting documents using AWS or OneDrive and FYI is unable to obtain an estimated count of documents, it will retry up to 10 times. If the request still fails, a message will be displayed confirming that users can click Create to continue with the export.
  • We have resolved an issue where, in certain cases, the {{ ClientContactName }} Merge Field did not insert the contact name.
  • When the Include as PDF option is enabled when manually creating a draft email with attachments, or sharing files to Collaborate, files that cannot be converted to PDF will be sent in their original format. Additionally, a message will be displayed confirming the number of attachments that were not converted.
  • Where Xero Practice Manager is selected as the practice management source and a sync of submitted time entries fails, the Practice Activity drawer will now display more information explaining the cause of the error.
  • When running an Automation Process that includes an Update Client step to update the Client Partner or Manager, any subsequent steps using Merge Fields for these fields will now populate the updated users correctly.
  • We've improved the error messaging when an Automation step references a deleted cabinet. Users will now see a clearer error message, making it easier to troubleshoot the issue.
  • For practices on the Elite plan, we've resolved an issue with time entry discrepancies in Time lists. A new Date column has now been added to all Time Lists to improve consistency in time entry reporting and filtering across time zones. This new field stores the data as the date only, and will display in Time lists by default. The existing column (which stored both date and time data) has been renamed to Date (Legacy). This legacy column remains available to add to lists or for filtering, if needed.

    Please note the new Date column has been populated with historical data, ensuring all existing views, automations and reports remain accurate and no data is lost.
