Update Time Custom Fields with Job Values

Time custom fields allow practices to segment and analyse time data in FYI, supporting richer reporting and insights. For practices that have enabled FYI as their Practice Management source and have Time custom fields set, job-level custom field values can be transferred to the time entries created under each job. 

The following article describes the purpose of updating Time Custom Fields and explains details on running the Update Time Custom Fields automation to streamline the process.

Updating Time Custom Fields Overview

Time Custom Fields should be updated after the Elite migration process, to ensure that all time entries inherit the appropriate custom field values from their associated jobs. This can be done in bulk by running an Update Time Custom Fields automation.

Note: All job custom fields must be populated before running the automation. If any job custom field values are missing, the related time entries will not be updated correctly.

When the Update Time Custom Fields automation runs:

  1. The automation retrieves job custom field values from the associated job.
  2. Using merge fields, current time entries in FYI are updated with the job custom field value.
  3. Any existing manual changes to time custom fields are replaced with the values inherited from the job.

Tip: If your practice has multiple time custom fields, you can review the automation results by filtering or grouping your Time tab or reports by these fields.

Running the Automation

The automation can be run:

  • As the final admin task, once FYI has been enabled as your Practice Management source. 
  • Run manually, when required. 
    Note that if values on time custom fields have been manually adjusted, running the automation will override these values.

Note: Running the automation multiple times will overwrite previously synced data on the time custom fields. If you wish to retain historical manual changes, consider exporting a report before rerunning the automation.
