July 2025: What's New and Improved

The second half of 2025 has officially kicked off, and this month brought a powerful set of features and enhancements designed to give your practice more control, automation, and precision. From expanded data import capabilities to exciting new betas and integrations.

Christmas came early in July, with the release of Client Secured Collaborate sites for practices set up with New Collaborate, offering greater control over document security. Clients are assigned a dedicated site, and only users granted access via Client Security permissions can view and edit shared documents. Sharing settings are managed using the existing window, and Merge Fields remain unchanged. Admins can also run a Status Check to automatically resolve any site configuration issues. Elite plan users were gifted another new feature this month, with the release of CSV Data Import Automation Filter, providing a highly flexible solution to bulk import clients, jobs, disbursements, and more into FYI. Using Merge Fields, FYI Admins and users with Automations permissions can create tailored processes that define exactly how imported data is mapped into your platform. The filter also supports matching data to existing clients or jobs, or bulk creating new ones, giving practices the flexibility to update your database as your practice evolves. Note that this feature also came with additional enhancements this month, including:

  • Match Jobs During Validation: You can now match existing jobs during validation, removing the need for a separate job lookup step. Simply select the "Trigger Job" Merge Field. If a Job Number is missing or doesn't match, the row will be skipped.
  • Job State Optional When Updating: When using the Update Jobs automation step, the Job State is no longer required in the CSV. This remains mandatory when creating new jobs.
  • Increased Import Capacity: You can now import up to 10,000 rows across CSV files per run (up from 5,000). If the limit is exceeded, rerun the automation to complete the import. Individual CSVs over 10,000 rows will not be processed.

The FYI team continue to work on this feature for Pro users, and is available as a Beta for practices on the Pro plan. Refer to Announcing the release of CSV Data Import.

Our App partners for Australian and New Zealand practices also grew, with FYI now integrating with FeeSynergy, a leading debtor management platform. With this integration, practices can synchronise engagements from FeeSynergy Collect into FYI, ensuring that all documents are stored centrally and easily accessible when needed. This improves document visibility and reduces double-handling across platforms. Refer to Announcing the new Integration with FeeSynergy.

We’ve refined the behaviour of manual sync options for practices using Xero Practice Manager. When a manual sync is triggered (e.g. from the Client List), related sync buttons are now temporarily disabled until the current sync completes. This prevents accidental re-syncs and ensures cleaner data synchronisation. This update applies across the Client and Job Lists, Jobs Board, and the XPM Automation App. For an example of the Sync option, refer to Using the Jobs Lists.

There were several synchronisation improvements, with various practice management sync platforms. For practices integrated with MYOB AO/ED, APS, CCH or IRIS, where client email fields are blank in your practice management system, they will now appear as blank in FYI instead of displaying "No Email Address". Refer to your relevant practice management software article for more information.

For APS practices, there were a number of improvements made this month:

  • ABN/NZBN synchronisation has been refined. If a business number is deleted or left blank in APS, FYI will now also show this as blank.
  • When Matters are synced from APS to FYI as Jobs, both the Client Name and Client Source ID are now matched, ensuring the job is filed correctly against the intended client.

For our practices on the Elite plan, some great enhancements to their platform:

  • For Elite plan practices, interim time entries can now be reallocated directly to the relevant Billing Job or Workflow Job. When creating a Progress or Final Invoice and selecting entries via the Add Time window, the dropdown for Bulk Update now includes both Billing and Associated Workflow Jobs. This eliminates the need to manually adjust selections or choose “No workflow job.” Refer to Managing Work In Progress - WIP.

  • Access controls for Practice Ledgers in the Xero Ledger app were refined. Now, only FYI Admins can view and select from all connected ledgers. All other users will only see ledgers not enabled as Practice Ledgers. This provides better data governance and ensures users only access what they need. Refer to Client Apps.
