New

  • We're excited to announce that Client Secured Collaborate is now available for all practices on the Pro and Elite plans using the New Collaborate functionality. 

    Using Client Secured Collaborate, practices can create a dedicated Collaborate site for individual clients, with greater control over which users can access sensitive client information, for example, documents relevant to a Partner. Using the Client Security function in FYI, FYI Admins will be able to control which staff members can access the new Client Secured Site. Only users added to the Security tab in the Client workspace will have access to the client in FYI and the Client Secured site. 

    From a user perspective, the functionality remains the same to invite clients and contacts, share documents, and co-edit with clients. Refer to Announcing the release of Client Secured Collaborate Sites
     
  • We're excited to release Interim Invoices for Workflow Jobs (Beta), available to Elite practices. Once the Beta is enabled, practices can create Interim Invoices directly against Workflow Jobs, enabling more accurate WIP tracking and smoother invoicing workflows. 

    To support a seamless transition to the Elite plan, when importing unbilled WIP, interim time entries will be allocated to the appropriate Workflow Job where applicable. In addition, the Create Interim Time Entries function supports the recalculation of deleted interim entries across both Billing and Workflow jobs, ensuring consistent recalculation and reduced manual intervention.

Enhancements

  • We've improved the Merge Field selection window interface when scrolling the list of available Merge Fields on the right-hand side. The formula input box will now stay fixed, making it easier to insert and update Merge Fields. Refer to Merge Fields Overview.
     
  • For practices integrated with APS, we have refined the synchronisation with Jobs. When Matters from APS are synchronised to FYI as Jobs, both the Client Name and the Client Source ID are now matched to ensure that the job is created against the correct client. Refer to Synchronising Clients, Matters and Users with APS (Australia & New Zealand only).

For practices on the Elite plan:

  • When creating a Progress or Final Invoice and selecting an Interim Time entry from the Add Time Window, the Bulk Update drawer now displays both Billing Job and any associated Workflow Jobs in the dropdown. This enhancement removes the previous “No workflow job” option, streamlining the invoicing process. Refer to Managing Work In Progress - WIP.
     
  • For practices migrating time entries from MYOB AO/AE (Beta), we have enhanced the synchronisation of Invoices and Time & Disbursements. To ensure more precise data is synced, a Sync Start Date must be entered in the Practice Sync app before the Time & Disbursements and Invoices options can be enabled. Refer to Synchronising Clients, Users and Jobs with MYOB AE & AO (Australia & New Zealand Only).

Resolutions

  • Searching for a Job in the Global Search bar now enforces Job Cabinet Security and permissions. Jobs will display in the search list based on the user permissions.
  • When sharing a document to a New Collaborate site via email with Co-Edit with Client enabled, all users on the Sharing Settings window will be granted Edit access to the document.
  • When right-clicking a PDF document in a Documents list, selecting Edit now only offers the options to edit the file in OneDrive Desktop or FYI Desktop.
  • We've optimised the performance of bulk-sending emails via Automation Processes to better align with Microsoft's throttling limits. Emails are now sent at short intervals to reduce the risk of exceeding the limits. 

For practices on the Elite plan:

  • When using the Update Client Automation step to update clients, if the Business Structure field was modified and then set back to Unchanged, the Structure field will remain unaffected when the automation process is run.

New

  • The CSV Data Import Automation Filter is now available for practices on the Elite plan, allowing practices to bulk import clients, jobs, disbursements, and more. Using Merge Fields, FYI Admins and users with Automations permissions have the flexibility and control to create a Custom Process that defines where the imported data is populated into FYI. The filter also supports matching data to existing clients or jobs, or bulk creating new ones as needed. Please note that this feature remains available as Beta for practices on the Pro plan. Refer to Announcing the new CSV Data Import Automation Filter.

    In addition, we have also made the following enhancements to the feature:
     
    • The Filter now supports matching for existing jobs with a new Match Jobs During Validation option, removing the need for a separate Job Look Up step in the process. To select the job within an Automation Step, users should select the "Trigger Job" Merge Field under the "Trigger Data" section. If the Match Jobs During Validation option is selected and a Job Number is missing from the CSV file, or does not match an existing job in FYI, the row will be skipped when the import is run.
       
    • The Job State is no longer a required field in the CSV file when importing data using the Update Jobs automation step. Please note that this field is still required when creating a new job, and any rows missing a Job State will not be imported.
       
    • The import can now be run for a total of 10,000 rows at one time, an increase from 5,000 rows. Where the total number of rows exceeds 10,000 for all CSV files in the view selected in the Automation Filter, users will need to re-run the automation to import the remaining rows, ensuring "Run Once Per Row" is selected to prevent duplicates. Please note that individual CSV files with more than 10,000 rows will not be imported.
       
  • FYI is now integrated with FeeSynergy, a leading debtor management system, and is available to all practices in Australia and New Zealand on the Pro and Elite plans. This integration allows practices to easily synchronise engagements from FeeSynergy Collect into FYI, ensuring documents remain centrally stored against clients and accessible when needed. Refer to Announcing the new Integration with FeeSynergy.

Enhancements

  • For practices integrated via Practice Sync (MYOB AO/AE, APS, CCH and IRIS), we have improved how email addresses are synchronised with FYI. Where a client's email address is not populated in your Practice Management Software, the client email field will now be blank in FYI, and no longer display "No Email Address". Refer to the synchronising details in the article for your specific Practice Management Software.
     
  • For practices integrated with APS, the synchronisation rules for client ABN/NZBN details have been refined. If a client's ABN/NZBN is deleted or is blank, the client's Business Number field will now display as blank in FYI. Refer to Synchronising Clients, Matters and Users with APS (Australia & New Zealand only).
     
  • When uploading a CSV file to OneDrive using the Generic Practice Sync app, a Practice Activity notification will now be generated if columns are missing from the CSV file. The message will display details of the file name, helping users quickly identify and resolve issues with the import file. Refer to Error "CSV Import failed due to required columns missing" when importing CSV Files from OneDrive for General Practice Management Software.
     
  • For practices on the Elite plan, we've restricted access to enabled Practice Ledgers configured in the Xero Ledger app. When accessing the Clients - Apps tab, only FYI Admins can view and select from all connected Xero Practice Ledgers. All other users will now only see and select from ledgers that are not enabled as Practice Ledgers. Refer to Client Apps.

Resolutions

  • Where an Automation Process encountered a failure, the Email Summary sent to the Automation Owner will now display the correct date, time, and relevant error message.
  • For practices using New Collaborate and Client-Specific Site Collaborate Beta, we have resolved the following issues:
    • When Delete Sharing is selected in Sharing Settings, shared documents are now removed automatically from the Client - Collaborate tab. These documents remain available in Documents lists.
    • When a User is removed from Sharing Settings, the remaining user names now display correctly.
  • For practices integrated with MYOB Practice Management (formerly GreatSoft), if the integration encounters an error, such as expired authentication, a notification will now be displayed in Practice Activity.
  • When using the Update Client, Share No Email or Create Job steps in an automation, and a client could not be found, the error message "Could not find Client" will now be displayed in the Automation History.

Enhancements

  • For practices using Xero Practice Manager, once a manual sync has been requested, all related Sync buttons will remain disabled until the sync has been completed. For example, if you request a manual Client sync from the Client List, the Client sync button in the XPM Automation App will be disabled. Other manual syncs can still be requested, for example, a Job sync. 

    This update applies to the manual Sync options in the Client and Job Lists, the Jobs Board, and the XPM Automation app. Please note that the manual Sync option is not displayed on the Client List for practices with FYI as Primary enabled. For an example of the Sync option, refer to Using the Jobs Lists
     
  • For practices on the CSV Data Import Beta, FYI will now validate the data before importing the CSV file, streamlining the import process. Users will be able to download the Error Report from the Test or Run windows, update the CSV file, and then re-validate the data to ensure errors have been corrected before running the import. Refer to Automation Process CSV Data Import (Beta).

Resolutions

  • For practices integrated with Practice Sync, we have resolved an issue where the alert for synchronised users missing a display name or email address continued to be displayed more than once a day.
  • For practices on the Elite plan, when creating an invoice:
    • Where interim time entries have been assigned to the Workflow Job, the invoice totals displayed in the drawer will remain at the correct value when clicking on the field.
    • For Progress and Final invoices, the minimum invoice amount cannot be less than the value of the selected interim entries.
    • Selecting only interim entries on the invoice will calculate the correct WIP Write On/Off values and allow the user to create a $0 invoice.
  • For practices on the Elite plan, when creating an invoice and deselecting time or disbursement entries, the invoice value will be reduced by the billable amount of the non-selected entries. The updated invoice amount will be redistributed across the selected lines, and the WIP write on/off values will be recalculated accordingly. This is also applicable when splitting time entries.
