Automation email saved as draft instead of sent immediately

Issue

An email created by an Automation Process and set to Send Immediately is saved as a draft instead of being sent automatically.

The automation may also generate the following notification:

  • "This email could not be sent immediately as the sender set by the automation step does not have valid credentials for Outlook online."

Cause

This occurs when the user selected as the Sender has not logged in to FYI and authenticated their Microsoft 365 account.

FYI cannot send the email from the nominated user's address until the account has been authenticated. Instead, the email is saved as a draft.

Solution

To resolve the issue:

  1. Ask the nominated Sender to log in to FYI using their Microsoft 365 account.
  2. Ask the user to check their Status page to confirm there are no Microsoft authentication issues.
  3. Once authentication is complete, send the draft email manually if it still needs to be sent.
  4. If the wrong Sender was selected, review the Create Email step in the Automation Process and update the Sender field. Refer to Process Step Details - Create Email.

Note: We recommend that all active FYI users log in to FYI at least once to ensure their Microsoft 365 authentication is captured correctly for sending emails.
