Onboarding Steps when working with IT Admins

During the onboarding process, some practices will involve their IT administration to configure user's IT environment to ensure the team is fully prepared for Day 1.

The following instructions are for IT Admins to follow.

Note: Before completing these steps, IT Admins should confirm the required actions below with the FYI Champion/s of their practice.

Step 1 - Review Best Practices for working with IT Admins 

There are certain recommendations for IT administrators to follow to ensure the security of a practice's data. Ensure that you have read and understood the following recommendations: Best Practice for working with IT Admins.

Step 2 - Install the FYI Practice Sync Desktop app (where required)

This step is only required for practices integrated with the following practice management software:

  • MYOB
  • APS
  • IRIS
  • CCH Central
  1. Install the FYI Practice Sync Desktop App locally. Refer to FYI Practice Sync Desktop App.
    Note: During the installation, you will be prompted to sign into FYI using the Microsoft 365 login process. This account must be an FYI Admin User.
  2.  Once installed, an FYI Admin user can configure the relevant practice management integration. For more information, refer to:

Step 3 - Install the FYI Add-ins for Office and Outlook

The FYI Add-ins enable essential functionality within Office products. This is a mandatory step that must be completed before practices can begin using FYI.

  1. Install the FYI Add-ins for all FYI users. Refer to Adding the FYI Add-ins for Office and Outlook.

Step 4 - Set Up user environments, including FYI Desktop App

Each user's desktop environment must be configured to support the integration of Microsoft products with FYI. This includes the correct setup of Outlook, OneDrive and Browser settings.

The FYI Desktop app must be installed on each user's machine as part of the onboarding process. The FYI Desktop app allows users to open and edit documents efficiently when working in FYI. 

Follow the below steps to ensure that each user has the FYI Desktop app installed and that their desktop environment is optimised for FYI use.

  1. Install and set up the FYI Desktop app. Refer to Step 5 - Set up the FYI Desktop App: Optimising your computer for user with FYI.
  2. Configure and prepare Outlook, OneDrive and Browser settings. Refer to Optimising your computer for user with FYI
    Note: Consult with your FYI Champion to determine the required actions from an IT Admin at each step.

Step 5 - Practice OneDrive Admin

Each practice should configure a Practice OneDrive Admin account to use FYI features such as Collaborate and Co-Edit with the Team

Note: Practice OneDrive Admin accounts are recommended to not be linked to user’s log in that will also use FYI day to day. Instead, we recommend using a generic email address. Typically, if your practice is integrated with a practice management software configured at Step 2 above, the same account will be used to set up the Practice OneDrive Admin account.

  1. Connect the practice's OneDrive Admin Account. Refer to Link your Practice's OneDrive Admin Account.

Step 6 - Migrate App (where required)

For practice's that are migrating documents as part of the onboarding process, the FYI Migrate App must be installed. This app is used to sync documents to FYI and must be installed in the same location locally, that the documents being migrated.

Important Note: Consult with your FYI Champion and Onboarding Consultant to determine if this step is required to be configured and run by the IT Admin.

To run the FYI Migrate App:

  1. Confirm with the practice that all steps in the section 'Before you Begin Data Migration' are complete. Refer to How to Use the FYI Migrate App.
    Note: These steps must be confirmed before downloading and installing the FYI Migrate app.
  2. Download and install the FYI Migrate App. Refer to How to Use the FYI Migrate App.
  3. Confirm the migration schedule with the FYI Champion and Onboarding Consultant.

Important: The Migrate app start date and time will be confirmed by your FYI Onboarding Consultant. It should not be started until confirmation has been received.
