In some cases, attachments in FYI may not be able to be opened or previewed. This is usually due to how the email with attachments were imported or how the original email was structured.
Attachments not separated from emails
If the email and attachments have been imported into FYI in a way other than the preferred autofile method, for example during migration, they may not have been separated from the original email. Refer to What data is migrated into FYI?
In this scenario, the attachment is still contained within the email rather than being available as a standalone document.
To access these attachments:
-
Export the email from FYI.
- Open the exported email on your computer.
- Access the attachment(s) from within the email.
- Import the attachments as separate documents, using drag and drop or import. Refer to Drag and Drop and Using OneDrive FYI - My Imports to Automatically Import to your In Tray.
Attachments created from email signatures
Some email providers, such as Hotmail, may flag elements within an email signature, such as images or formatting, as attachments.
These items may display in the Drawer as attachments but cannot be opened, previewed, or exported.
These files often:
- Have a file type such as "Image" or "Other"
- Have names such as ATT00010 or IMAGE005
This behaviour is caused by how the incoming email is structured, and these items are treated as valid attachments by the email provider.
There is no action that can be taken within FYI to open these files.
To manage these attachments:
- Review the email content to confirm whether the attachment is part of a signature.
- Delete the file if it is not required.
