A Web Link allows you to quickly and easily add the URL for a link created in another application, for example, if there is a report that is held for the client in a different program, such as your practice management software.
Web Links can also be created through Automation steps, for example, when importing a report from Xero Ledger.
Creating a Web Link
- From FYI, click the + button in the menu bar.
- Select Web Link from the list of document types.
Alternatively, from the workspace, press the shortcut key L to create a new Web Link.
The fields that initially display depend on whether filing defaults have been set in your settings or in the Practice Settings. When you select the Client, these may change to the filing defaults set for the client. If you select a template, the categories may change when filing defaults have been set for that template.
- In the drawer, enter the filing details or change the defaults.
- Client: Type at least three characters of the client name to display all clients containing those characters, then select the required client.
- Cabinet and Categories: Such as Work Type or Year. If Jobs are enabled for the selected Cabinet, you can also select a Job for the client.
- Tags and Keywords: If the selected Cabinet has been enabled for Tags or Keywords these display as additional Categories. You can create or select one or more Tags as additional categorisation, that can be entered when searching for the document.
- Name: This identifies the Web Link internally and is the name that is displayed in the lists in FYI.

URL: Enter or paste the URL. Enter this as the full URL, including "https://".
- Click Create.
You can use Web Link if you need to copy an email or document and file it in FYI to multiple clients, but only want a single version of the file. To do this, copy the email or document as a Doc Link and then adding this Doc Link as the URL.
Accessing a document from a Web Link
In a list, click the Open icon next to the Web Link name and the linked document displays.
