How does FYI determine the Owner of an email?

The Owner identifies which FYI user is responsible for or created the email, and will be set depending on where the email was created, either in FYI or Outlook.

When creating and sending emails, FYI's best practice recommendation is to create the email directly in FYI. Refer to Creating an Email in FYI.

Emails created in FYI

When an email has been created in FYI, the Owner field will be set as the FYI user who created the original email. 

If creating an email using an automation process, the Owner can be set when the email is created. For scheduled automations triggered by System, if the step is configured to set the Sender to the user who triggered the automation, FYI sets the Sender as the Owner of the process.

Emails created in Outlook

When an email has been created in Outlook, the Owner is dependent on how many FYI users are the recipients of the email:

  • Where the email has been created by one FYI user, they will be set as the Owner of the email.
  • Where there are multiple FYI users as the recipient, the Owner will be matched to the user in FYI following the priority order: From, To and CC. Refer to Emails with Multiple Recipients.
