Share client documents securely while keeping sensitive information protected, maintaining document control and reducing version confusion.
Email attachments can be convenient, but they aren't always the right choice for sensitive information or documents that need to change over time.
In this session, we show you how to choose the right sharing method for each situation: use an email attachment for appropriate non-sensitive documents, Secure Link when a client needs to securely access a document, Collaborate when they need to edit it, and Uploads when they need to securely provide documents back to your practice.
See how FYI helps you give clients a convenient experience while keeping documents secure and under control.

Your Action Plan
Follow these steps to choose the right way to share documents with your clients.
Step 1 - Choose the right sharing method
Before sending a document, consider what the client needs to do with it.
Use an email attachment for appropriate non-sensitive documents where a separate copy is suitable.
Use Secure Link when the client needs to securely access a document but does not need to edit it.
Use Collaborate when the client needs to edit the document with your team.
Use the Uploads folder when the client needs to securely provide documents to your practice.
Choosing the sharing method based on the outcome helps reduce unnecessary copies while giving clients the access they need.
Step 2 - Share sensitive documents using Secure Link
When a client needs to view or download a sensitive document, share the document using Secure Link .
The client receives a link by email and verifies their identity before accessing the shared document.
Secure Link is ideal for one-way sharing when the client needs secure access to the document but does not need to edit it.
Step 3 - Work together using Collaborate
When the client needs to edit the document, use Collaborate with Client Co-Edit.
Share the document through Collaborate and enable Client Co-Edit so the client and your team can work from the same file.
Instead of emailing updated versions back and forth, the document is managed in FYI while everyone works from the same version.
Step 4 - Receive client documents using Uploads
Use the client's Uploads folder when you need them to securely provide documents to your practice.
Clients can upload documents directly through Collaborate instead of sending them as email attachments.
This provides a secure way to exchange documents in both directions without relying on attachments.
