The Collaborate tab in the Client workspace displays all documents that have been shared with the client via Collaborate, when:

  • Using the Share function and selecting Send via Collaborate
  • Using the Share No Email function and selecting Send via Collaborate
  • Attaching files to an email and selecting Send via Collaborate

Any documents sent via email not attached using Collaborate, or documents sent for signing with DocuSign, Adobe Sign, Annature or FuseSign (using the Signature button) are not displayed in the list.

The Client - Collaborate tab displays as follows.

A list of documents will be displayed, as shared with clients and any other third-party contacts added to New Collaborate. 

From this tab, users can manage documents on New Collaborate:

  • Select a document to share with additional users.
  • Unshare documents to remove the document from the client folder.
  • Use the Share Settings to add or remove access for clients and other contacts to the New Collaborate client folder.

The Collaborate tab also shows any documents that are in Co-edit with Client. This gives the client edit access to the document and also allows team members to work on the document at the same time. Documents that are in Co-edit with the client show the Co-edit with Client icon in the lists. Refer to Overview - Co-edit with Client and Co-editing an External Document.

Sharing Settings

Click the Sharing Settings button to open the Sharing Settings window. This button is only available for FYI Admins and users with permissions for Sharing Settings.

Users Tab

On this tab, users will be able to:

  • View a list of guest users the Client Folder has been shared with, and add additional users if required. Refer to Sharing the Share the New Collaborate Client and Upload Folders.
  • Access the Client Folder link in the top right-hand corner. 
  • View the Status Check for individual users to identify any issues. Refer to Troubleshooting New Collaborate using Status Check.
  • Edit the Display Name for the contact.
  • Copy the link to the Client and Upload folders on the New Collaborate site.
  • Manually import documents from the Client Uploads folder.
  • Remove shared users, either individually or by clicking Delete Sharing to remove all users and documents from the Collaborate site.

Settings Tab

The Settings tab will be displayed differently, depending on the Default Collaborate Site setting for the client.

Clients can be configured to use the default Collaborate Site, referred to as the Client Collaborate site, or a dedicated client site, referred to as the Client Secured Collaborate site.

Using Client Secured Collaborate, practices can create a separate Collaborate site for individual clients, with greater control over which users can access sensitive client information, for example, documents relevant to a Partner. Refer to New Collaborate Site Types Overview.

For clients where the Default Collaborate option is set to Yes, the Settings tab will be displayed as below.

Field Details
Folder Name

When documents are shared with clients, a folder within the New Collaborate site's Document Library will be created for each client. This is what we refer to as the Client Folder.

This field will only be displayed for clients where the Default Collaborate Site option is set to Yes.

The name of the folder is created using the Client Name, followed by the FYI Client ID, e.g. "Marshall, Frank-467456". The Client Folder's name must not be changed.  Client ID must not be modified or removed from the folder on the New Collaborate site.

The FYI Client ID is displayed on the Client - Summary tab. Refer to Client Summary.

If the client is renamed, FYI will detect a mismatch between the client's name and the client folder on the New Collaborate site. The Sharing Settings button will turn red, and the Settings tab will display a Fix it button.

To update a client's Share Folder on Collaborate and ensure all links are updated, refer to Renaming a Client with New Collaborate Shared Folder and Files.

Default Collaborate Site

By default, clients will be configured to use the default Client Collaborate site for sharing documents.

If the Default Collaborate Site is set to No, additional fields will be displayed to allow the user to create a separate Client Secured Collaborate site. Staff access is limited to the users added to the Client - Security tab. 

If the Client Secured Collaborate site has already been created, the site link will be displayed under the Collaborate Site field.

Users will also be able to update the settings, or run a Status Check on the site.
