The Prospective client request form provides a template for collecting enquiries and information from prospective clients, helping practices understand their business needs and the services they're interested in.
The form collects contact details, service requirements, industry information, and additional details about the prospective client's business.
Download the Form template and import it into FYI. You can then customise the Form to suit your practice's requirements and generate an external link to share with prospective clients or embed on your practice's website.
What's included in the Prospective client request form?
The Prospective client request form is organised into four sections, allowing practices to collect information about prospective clients and their requirements. Expand the sections below for more information.
To demonstrate potential use cases, some fields in this sample template are tailored to Australian practices. These fields can be easily customised across regions.
Your information
Collect the prospective client's personal and business contact information, including:
- Title, First Name, and Last Name.
- Email address and mobile number.
- Business or Group Name.
These details help practices identify the prospective client and understand which business or group the enquiry relates to.
Service required/enquiry
Allow prospective clients to indicate which services they're interested in, including:
- Accounting and Tax.
- Bookkeeping.
- Management Accounts.
- Financial Planning.
- SMSF Management.
- ASIC Compliance.
- Advisory.
The Form also allows prospective clients to specify additional services or requirements relevant to their enquiry.
Industry type
Collect information about the prospective client's business, including their industry and turnover range.
This information helps practices understand the type and size of the business when reviewing the enquiry.
Additional details
Collect further information about the prospective client's enquiry, including:
- How they heard about the practice.
- Additional information they would like to provide.
- Current business challenges or pain points.
These details provide additional context about the prospective client's circumstances and the assistance they're seeking.
Importing the New client request form
Download the Prospective client request form using the file attached at the bottom of this article.
Once you've downloaded the file, import the Form template into FYI. Refer to Managing form templates for instructions on importing a Form template.
What's next?
After importing the Prospective client request form, review the template and customise it to suit your practice's requirements:
- Review the contact information fields, service options, industry details, and additional enquiry questions to ensure they reflect the information your practice needs to collect from prospective clients.
For more information on editing Form fields and settings, refer to Managing form templates.
Before sharing the Form, review the template's AutoFile settings to ensure submitted responses are filed to the appropriate Cabinet and Categories, where applicable. It is recommended that the Form template has a Filing Status of Active.
Sharing the Form with prospective clients
You can generate an external link directly from the Prospective client request form template. This creates a General Form that prospective clients can open in their browser to complete and submit their information.
The external link can be shared with prospective clients, included in an email, or embedded on your practice's website to allow visitors to submit an enquiry.
To generate the external link, open the Form template from Knowledge - Templates, select External Link from the Doc Link tool, and copy the link to use where required.
Refer to Creating a direct link to a general form for detailed instructions on generating and sharing the link.
Reviewing General Form submissions
General Forms aren't linked to an existing client record in FYI. Submitted responses are filed according to the Form template's AutoFile settings, where applicable. If no template AutoFile settings have been configured, the practice's AutoFile Settings and Defaults apply.
General Forms don't save partially completed responses. Prospective clients must complete and submit the Form before closing the browser window.
Changes to a Form template also apply to Forms created from that template, including existing and submitted Forms. Review the template carefully before sharing the link and consider the impact of any later changes.
For more information on General Forms and their behaviour, refer to Creating a direct link to a general form.
