We’re excited to announce that the Secure Link feature is now available for all practices on Pro and Elite plans. Secure Link allows practices to securely send sensitive documents and forms to recipients by email, with a verification code required to be entered before the documents can be accessed and downloaded.
What does this mean for FYI users?
Secure Link provides a secure way to share sensitive documents and forms directly from FYI while helping practices control access and verify the intended recipients.
- Secure document sharing: Share supported documents stored in FYI directly with recipients by email, including Word, Excel, PowerPoint, PDF, and Forms.
- Recipient verification: Recipients must enter a multifactor authentication code sent by SMS or email before accessing and downloading shared documents.
- Country of origin: A new setting allows practices to select the default country FYI uses when a recipient’s mobile number doesn’t include a country code. For international recipients, include the country code in the mobile number so FYI uses the correct country when sending the verification code by SMS.
- Configurable access: FYI Admins can configure how long links to shared documents and forms remain available. The Share Expiry Period is set to 30 days by default.
- Automated sharing: Secure Link can also be used to share documents and forms automatically using the Create Email automation step in a custom process.
- Activity tracking: Review Secure Link activity in the Document drawer, including when links are generated, verification codes are requested, and shared documents are accessed.
Who is this available for?
Secure Link is available now to all users on the Pro and Elite plans.
How does it work?
When documents are shared using Secure Link, the recipient receives an email containing a link to the shared documents. Before accessing the files, the recipient verifies the email address the documents were shared with and must enter a multifactor authentication code sent by SMS or email.
The delivery of SMS messages is subject to local regulations and may require approval in certain countries. Where SMS verification isn't available, recipients automatically receive the verification code by email.
Once the verification code has been entered, recipients will be able to view and download the documents. Access to the shared documents expires automatically based on the expiry period configured by the practice. Once access expires, the recipient can no longer use the link, and the practice must share the documents again if access is still required.

Want to get started?
An FYI Admin will need to configure the Country of Origin and Secure Link settings. It's also recommended to review recipient mobile phone numbers in FYI and add country codes for any international clients.
Once configured, users can begin sharing documents. Refer to Sharing documents using Secure Link.
