FYI-2326: Unable to remove file from Collaborate

Issue

When FYI attempts to remove a document from a New Collaborate SharePoint site, the document may not be removed, the follow error is displayed in Practice Activity or Process History.

  • "(document name) filed under (client name) was unable to be removed from Collaborate."

This can occur, for example, when unsharing a document or after a file has been uploaded from the client's Upload folder.

Cause

Microsoft may prevent FYI from removing the document from SharePoint for several reasons. Review the possible causes below to identify the appropriate next step.

SharePoint retention policy

A retention policy applied to the New Collaborate SharePoint site may prevent files from being deleted during the defined retention period.

Solution

Ask your IT provider or Microsoft administrator to review the SharePoint compliance or retention policies that apply to the site. A policy that blocks deletion may need to expire before FYI can remove the document.

For information about configuring retention for New Collaborate, refer to Configuring a SharePoint Data Retention Policy for New Collaborate.

OneDrive admin account permissions

The OneDrive admin account may not have the Microsoft 365 or SharePoint permissions required for FYI to remove files from the New Collaborate SharePoint site.

Solution

Review the New Collaborate configuration and confirm that the OneDrive admin account has the required Microsoft 365 permissions and access to the SharePoint site.

For information about the required configuration, refer to Setting up Microsoft 365 for New Collaborate.
