Issue

When adding a Guest User to New Collaborate, the user is not added, and the following error is displayed in Practice Activity:

  • FYI-2324 "FYI was unable to add the Guest User. The existing SharePoint Visitor group has reached capacity, and a new Visitor group could not be created."

Cause

When adding a new user to the SharePoint site, New Collaborate will perform several steps, including adding the user to the Share Folder and Upload Folder permissions, as well as adding the user to the SharePoint site Visitors group.

A SharePoint Visitor group has a maximum capacity of 5,000 users.

When the group reaches 4,000 users, FYI automatically attempts to create another Visitor group so new Guest Users can continue to be added. This error occurs when FYI is unable to create the additional Visitor group and add the Guest User.

Solution

  1. Ask your Microsoft 365 Administrator to review Setting up Microsoft 365 for New Collaborate and confirm the required Microsoft settings are configured correctly.
  2. If any settings need to be changed, update the configuration as required.
  3. Wait 15 minutes, then try adding the Guest User again.
  4. If the configuration is correct and the error continues, contact FYI Support.
