We're excited to introduce PDF Management, our latest feature for document management, bringing the full workflow of PDF preparation into FYI. PDF Management introduces PDF Editing and PDF Collation directly in FYI. These features support different stages of PDF preparation, from combining separate documents into a single PDF to making final edits and annotations before a document is finalised or sent for signing using your preferred digital signing service.

What does this mean for FYI users?
PDF Management brings both Editing and Collation into FYI, helping practices efficiently prepare professional, client-ready PDF packages without leaving their platform.
PDF Editing
A PDF may require further changes or annotations before it is finalised or shared with a client. PDF Editing allows users to make these changes directly in FYI, such as highlighting key information, adding comments or applying a watermark.
With PDF Editing, users will be able to:

Edit PDFs directly in FYI: Add, replace or delete text without exporting the document outside of the platform.
Note: Deleting text removes the text from view but does not permanently redact the information. - Control and manage each page: Insert new pages, reorder existing pages and manage hyperlinks to create a polished, easy-to-navigate document.
- Add finishing touches: Apply configurable watermarks, highlight, underline or strikethrough content, and create bookmarks for an easy-to-navigate final PDF or collation.
- Save and file changes in FYI: Save the updated PDF back to FYI as a new document version, keeping the latest changes and version history together.
PDF Collation
A client pack may include several documents, such as a cover letter, tax return and financial statements, stored separately in FYI or against related entities in a family group. PDF Collation allows these documents to be brought together and arranged in the required order to create a single PDF.
With PDF Collation, users will be able to:
- Combine multiple PDFs: Select two or more PDF documents stored in FYI and bring them together in one PDF document.
- Collate by client or family group: Create a collation for a single client or across related entities in a family group.
- Reorder documents with ease: Drag and reorder PDFs into the required final sequence before creating the collated PDF.
- Keep source documents unchanged: Once collated, a new separate PDF package is created, while existing original documents are retained in FYI.
Pricing
PDF Management will be available at no additional cost to practices on the Pro and Elite plans.
Release Stages
PDF Management will be rolled out in three planned stages, with a focused beta intended to validate the experience and pave the way for general rollout.

Stage 3: General
Pro and Elite practices for all regions will be able to start editing and collating PDFs as part of their day-to-day workflow.

Do I need additional Permissions to use PDF Management?
No. All users will be able to leverage this feature.
Can PDFs be sent for signing using PDF Management?
No. PDF Management does not include a digital signing service. Practices can continue to use their preferred signing service to send PDF documents for signature as part of their existing workflow.
How are changes to a PDF tracked?
Each PDF once "finished editing" creates a new version, and previous versions are retained.
Does deleting text permanently redact information from a PDF?
No. Deleting text in PDF Editing removes the text from view, but does not permanently redact the underlying information. PDF Editing should not be used to redact sensitive or confidential information.
