FYI Admins can edit individual users to update settings as required, for example, assign the user to a different user group, change their AutoFile Defaults, or deactivate a user who has left the practice. Changes to multiple users can be made via Users Bulk Update.
Editing Users
- Log in to FYI as an FYI Admin.
- Click Settings in the top right-hand corner.
- Select Practice settings from the drop-down, then select General.
- Click the User tab. The Users List will be displayed.
- Click the user to open the User Profile drawer.
- Update the relevant fields.
- Changes are automatically saved as the fields are updated. An entry will be added to the Activity section of the drawer to record the changes.
Note: For practices on the Elite plan, all User Profile fields for a WIP Imported Inactive User are disabled and cannot be edited.
Making a User Active
Users must be marked as Active to be able to log into FYI.
To enable a user:
- Click on the user in the User List to display the User Profile drawer.
- Click the Active toggle to change the option to Off.
- Set Active to On.
The user will then be able to log in to FYI. FYI Admins can also then send an invitation, containing links to log in and optimise their computer for use with FYI.
Tip: FYI Admins can select whether new users are created as active or inactive by default. Refer to Managing Practice Settings.
Making a User Inactive
Before making a user inactive, ensure the user is not assigned to any jobs or tasks, and there are no unfiled emails. For a full list of steps to complete, refer to Steps to Complete before Offboarding a Team Member or Making a User Inactive.
To deactivate a user:
- Click on the user in the User List to display the User Profile drawer.
- Click the Active toggle to change the option to Off.
- A message will be displayed to confirm that the offboarding process has been completed.
- Click Yes.
- The toggle will display as Off.
The user will be deactivated and will no longer be able to log in to FYI. If the user attempts to log in, they will see the message "No account associated with your email address".
- For practices with a practice management integration, making a user inactive or deleting the user in the practice management system will not make the user inactive in FYI. The user must also be made inactive in FYI.
- Inactive user names will continue to be displayed for documents, including in the Activity section, when the user has modified the document. Fields assigned to the user, for example, Partner, will also continue to display their name.
- Inactive users will not be included in filters, for example, when filtering the Jobs List by Job Partner.
- For practices on the Elite plan, inactive users may still be displayed in Home - My Team when the selected date range includes a period when they were active.
Assigning the User Group
User Groups determine the Cabinets that the users can view and file emails and documents to, as well as the permissions for which FYI functions the users in that group can access. Alternatively, User Groups can be set with only the Cabinets or only the Permissions. Refer to Managing User Groups.
- To make the user an FYI Admin, select the Cabinet Group as "Admin".
- When selecting the Cabinet Group, if this is set up with both Cabinets and Permissions, only the Cabinet Group is selected, and the Permission Group field is disabled.
- If a Cabinet Group is selected that does not include Permissions, you need to then select a User Group that holds the Permissions.
To change the permissions for a user:
- Click on the user in the User List to display the User Profile drawer.
- Select the required Cabinet Group.
- To make the user an FYI Admin, select Admin.
- When the selected Cabinet Group includes both Cabinets and Permissions, the Permission Group field is disabled.
- When the selected Cabinet Group does not include Permissions, select the required Permission Group.
The user will need to log out and log back in to FYI to reflect the changes.
Assigning the Workflow Approval Level
The Approval Level field is used by the Workflow feature, available to practices on the Pro and Elite plans. The Approval Level controls which Status can be set in a document and who can edit or approve a document. Refer to Workflow Basics.
Some User Group permissions may also control what users can access regardless of Workflow Status:
- Users assigned to a User Group with Create Automations permissions can select any workflow status in automation steps, including approval statuses. Separate Approval Level permissions are still required to manually apply approval statuses outside of automation steps.
- Users assigned to a User Group with Create Invoices permissions enabled will be able to create and edit invoices with any Workflow status, regardless of their Approval level.
To change the Approval Level, select the new value from the drop-down. Changes will be saved automatically.
Managing the Email Alias
The Email Alias is only relevant to users added directly to FYI. An alternate email address can be entered when the user is created, allowing the user to log in with the email alias when they cannot use their original email address. You cannot add or edit the Email Alias for an existing user, but you can remove it from the User Profile.
For practices integrated with Xero Practice Manager (XPM), an Email Alias must be linked to the XPM login email address using the Magic Link. Refer to Logging into FYI with an Email Alias set up using Magic Link.
When a user has an Email Alias:
- Email notifications are sent to the email address used for the Email Alias.
- The Email Alias is displayed as the Sender for emails sent from FYI.
- The Email Alias is used as the Author Merge Field in Signatures.
To remove an Email Alias, click the X in the Email Alias field.
User Activity
The Activity section in the User profile shows changes made to the User profile, with the name of the user who made the change, and also shows any changes the user made themselves in their My Settings (refer to Setting Defaults and Filing Defaults for your Own Login - My Settings). Changes saved to the user will be displayed in the Activity section the next time the User Profile drawer is opened.
Note: If the text related to the activity is longer than one line, hover over the text to see the full description in the activity drawer.
FYI Support Accounts
FYI Support users (displayed with the label "Free Account") are temporarily created when required to investigate support requests. These accounts are removed each day automatically.
You will not be charged for these accounts. Ensure you leave any FYI Support users active.
User Fields
The fields displayed in the User Profile depend on the FYI plan and practice management integration. Expand the relevant section below for details.

| Productivity Target % |
A percentage of the expected working hours of their total Working Hours. For example, entering a value of "80" would represent a Productivity Target of 80%. Productivity Targets allow practices to set their expectations for their employees while reporting regularly on a the user's target compared to actual productivity to ensure the practice is on track each month. Users will be able to view their Productivity Targets on the My Time tab. FYI Admins, and users assigned to a User Group with permission to either access or manage employees will also be able to view the Productivity Target on the Home - My Team tab. |
