Client Groups created, edited, or deleted in Xero Practice Manager (XPM) do not always synchronise to FYI immediately.
The synchronisation timing depends on how the Client Group is created, whether it is associated with a client in XPM, and whether the client is new or existing.
When does a full Client Group sync run?
A full Client Group sync runs overnight. This sync checks Client Group information from XPM and updates FYI where the relevant XPM conditions are met.
When are Client Groups included in the incremental sync?
The incremental sync runs every 15 minutes and may include Client Group information in the following scenarios:
- A client synchronises to FYI with a Client Group that FYI does not yet recognise. For example, if a newly created Client Group is assigned to a client in XPM, the Client Group can synchronise to FYI during the incremental sync.
- A new client is created in FYI and a Client Group is added shortly afterwards in XPM. The Client Group is included when XPM pushes the updated client information back to FYI during the incremental sync.
Why has a Client Group not synchronised to FYI?
Client Groups may not synchronise due to XPM conditions. For example, if a Client Group is created in XPM but is not associated with a client, the Client Group may not synchronise to FYI.
When is a manual sync required?
Existing clients are only updated after a manual sync is run. If the Client Group change relates to an existing client, run a manual sync to update the client information in FYI.
New clients created in FYI synchronise to XPM. If a Client Group is then added in XPM, XPM pushes the Client Group back to FYI during the incremental sync.
