FYI's Reporting feature is designed to maintain reliable performance while still processing high volumes of data. Report limits can still be exceeded, and the report fail to generate, if too much data or processing is required. The performance of report generation is most affected by the following factors:
- Complexity of the Data: Large amounts of formulas and formatting.
- Amount of Data: Number of rows returned.
- Included Data: Columns included in the report.
Running a report without limiting these factors can result in the report timing out and failing to generate. As a general rule, reports are benchmarked to provide a responsive and smooth experience for up to 250,000 rows of data. This prioritises data integrity and speed, ensuring that reports generate reliably and consistently.
Particularly large reports, such as those with intricate formulas, reports that include all columns, or complex WIP reconciliations, are susceptible to exceeding the limits and timing out.
Recommendations
To help ensure successful report generation we recommend taking the below steps before generating the report:
- Apply date filters to Views to keep the amount of data returned into a manageable amount. Refer to Managing Report Templates.
- Ensure that only necessary columns are included in the report. Avoid using All Columns unless they're required. Refer to Creating Reports from Excel Templates.
- Split the report into smaller batches, for example, a multi-year report can be run multiple times for different years.
