The Upload folder, located within an employee folder on the SharePoint site, allows users to add files that are automatically imported into FYI.
This is useful for quickly bringing documents into the platform without needing to upload them manually.
This feature is currently in beta. Learn more about beta registrations.
Files added to the Employee Collaborate Upload folder are imported into FYI every 10 minutes and display in the Employee - Documents List in the relevant Employee workspace.
Note: The File Size Limit for a single upload file is 476MB.
After files have been imported to FYI, they will either be retained or deleted from the site, depending on the setting Retain Uploads in the Collaborate - Employee app settings.
-
If set to Yes: Documents are moved to a Processed folder within the employee's Upload folder. These can be manually removed if no longer required.
-
If set to No: Documents are deleted from the SharePoint site after being imported into FYI.
Note: When uploading a folder, the files are imported and removed, but the folder is not deleted. The folder must be manually removed if no longer required.
Filing Uploaded Files
Documents imported from the Upload folder will be automatically filed to the Employee cabinet.
Note: Email AutoFile is not available for employee emails, and Employee Filing Defaults cannot be configured. Users will need to manually select any relevant filing details, for example, Year.
Identify Uploaded Documents
Uploaded documents display on the Employee - Documents tab. Additional columns can be displayed to view more information:
- The Source column will display Employee Upload.
- The Created By column will display the name of the OneDrive Admin user.
- The Source Path column will display the URL from the folder where the file was imported from, including the employee folder name.
Note: Documents that display a question mark icon in the Type column are not a standard Document Type file format. To view the file, export it and open it in the appropriate application. Refer to Exporting Documents. The employee may need to be contacted to verify the file and upload it again.
Manually Import Documents from the Upload Folder
Users can manually request a sync of the Employee Upload folder to import new files.
- Navigate to the Employee - Collaborate tab and click Sharing Settings.
- Click Options and select Import Uploads.
- This will run an import on the employee's Upload folder. Files will be imported into FYI, and the results will be displayed.
