Emails are created in FYI or filed automatically from Outlook. Once filed in FYI, emails are displayed and managed alongside other documents and client information.
This article explains where emails are displayed in FYI and the icons used to identify different types of emails.

Email Icons
Email Icons help users quickly identify key information about an email, for example, whether it is incoming or outgoing, part of a thread or still in draft.
The table below describes each icon relevant to emails.

The Draft icon displays against an Email in FYI when the Delivery Status is Draft in FYI. Note: Emails saved via "Draft in Outlook" will be marked as "Sent" in FYI, and should be managed in Outlook from that point on. |

| White envelope indicates an Incoming Email that was received into FYI from an external sender. The Delivery Status of these emails is set to 'Received'. | |
| Blue envelope indicates an Outgoing Email that was sent from FYI, including emails sent or replied to using the FYI Drawer in Outlook or Office. The Delivery Status of these emails is set to 'Sent'. | |
| The Thread icon displays when there are threads in an email trail. You can see the emails in the thread from the Threads section in the drawer. Click the Thread icon to display the Thread list filtered to display only the emails in the thread. | |

The Paperclip icon displays next to the email in lists, where an email has attachments. Note: Emails migrated from legacy systems other than MYOB or performing an FYI to FYI migration, will not display the paperclip icon. Refer to What data is migrated into FYI? |

| Emails that have a workflow Status set to 'Complete' will display a Lock icon. Users with the relevant Workflow Status can unlock and update the status. | |

When an email has been successfully filed into FYI, Outlook displays a Filed in FYI label. This confirms that the email has been captured and stored in FYI.
Outlook acts as the source of the email, while FYI becomes the central workspace for managing and organising correspondence. |
Displaying Emails
Emails can be displayed within various workspaces in FYI. This includes:
- Document Lists to locate emails across workspaces.
- Home - In Tray to process incoming emails.
- Home - My Recent to quickly access recently viewed emails.
Document Lists
Emails are displayed in Document lists within the relevant Workspace. These lists allow users to filter and locate emails based on criteria such as Type Client, Cabinet, or Category.
Email Icons assist users in quickly identifying whether an email is incoming or outgoing, threaded with an email conversation, filed in FYI or Draft.
There are various system views configured to assist with locating emails:
- Emails - Draft: Displays all emails in Draft that have not been sent.
- Emails - Sent: Displays all outgoing emails with the delivery status of Sent.
- Emails - Received: Displays all incoming emails with the delivery status Received.
The Source column allows users to filter by emails depending on how the email was created:
- FYI Automation: Items created by an Automation Process.
- FYI Email: Emails created in FYI after the 10th of April 2026.
- FYI: Includes emails created in FYI before the 10th of April 2026.
- Email Prefile: Draft emails created and filed in FYI from Outlook before the email is sent.
- Outlook Email: Emails created in Outlook, including sent and received emails, that have not yet been filed in FYI. Emails will retain the source of Outlook after being filed in FYI.

Home - In Tray
Each user's In Tray displays emails and documents that have been imported into FYI from Outlook or other external services but have not yet been filed.
Each email in a user's In Tray will have a status of "Draft Filed" in Outlook.
Tip: FYI Admins can display and manage all users' In Tray documents from the Draft Filed Document View. This is useful when a user is on leave.
Once emails are reviewed and filed, they are moved to the appropriate Client and Cabinet within FYI and no longer display in the Home - In Tray workspace. Refer to Managing your In Tray.
Note: Emails with multiple recipients can be filed from the In Tray of whoever received the email first. Refer to Emails with Multiple Recipients.
Home - My Recent
Home - My Recent displays the emails and documents you have created or modified recently. Users can use this list to quickly access recently viewed emails. By default, this displays the emails and documents that have been modified in the last five days.
