Integration with OnboardMe

OnboardMe is a platform that automates client onboarding, engagement letters, and payments through secure identity verification, enabling practices to transition new clients from sign-off to paid and onboarded without manual administrative intervention. Using this integration, client information will be synchronised between both FYI and OnboardMe, and autofile signed engagements and onboarding forms.

Features of the Integration

• New Client Onboarding: When a firm signs a new client, OnboardMe captures all necessary details and synchronises this into FYI, creating client records automatically.

• Engagement Management: Engagement letters and compliance documents generated in OnboardMe are stored in FYI, ensuring easy access and audit trails.

• Workflow Automation: Completion of onboarding steps in OnboardMe can trigger FYI workflows, such as document reviews or task assignments.

Connecting OnboardMe to FYI

Step 1 - Obtain the Access Key ID and Access Key Secret from FYI

1. In FYI, click the Automation menu option.
    
2. Click on the Apps tab.
   
3. Locate the OnboardMe app, and click the cog icon.
   
4. Click Create new secret. This will generate a new Access Key ID and Secret Key used to connect to FYI.
    

5. The Access Key and Secret Key ID will be displayed. Click the clipboard icon next to each code to copy and paste it to a secure location, for example, a vault.

   Important: You will only be able to view the Secret key the first time this window is displayed. If the Key is required again, you will need to disconnect your integration and request a new Key before you reconnect your integration.

Step 2 - Adding the FYI Access Key ID and Secret Key ID into OnboardMe

1. Log in to OnboardMe and navigate to Settings - Integrations.
    
2. Search for FYI under Available Integrations.
    
3. Click Connect.
    
4. Follow the instructions on screen, and add in the Access Key and Secret Key ID.
    
5. Click Connect.
    
6. Once the connection is established, OnboardMe will automatically download Cabinets from FYI, and confirmation messages will appear on screen.
    
7. FYI will then appear as Connected under Active Integrations.

Step 3 - Configure FYI and OnboardMe

Follow the OnboardMe steps included below, relevant to your FYI plan, to complete your configuration with FYI and OnboardMe:

• Pro practices: OnboardMe integration with FYI Documents.
• Elite practices: OnboardMe integration with FYI Elite.

Using the OnboardMe Integration

Once FYI and OnboardMe are connected, Clients, Cabinets, Categories and documents will be synchronised. For practices on the Elite plan, Jobs can also be deployed once engagements are accepted within OnboardMe.

Clients

Clients synchronised from FYI to OnboardMe are matched with existing clients using TFN, ABN, ACN or Name and Email:

• If a match is found, clients are linked.
• If no match is found, a new client is created in OnboardMe.

If a client is synchronised from OnboardMe and created in FYI, the Source will be set to OnboardMe. The Client List can be filtered by Source if required.

For practices integrated with Xero Practice Manager, clients will then be synchronised to XPM, and the Source in FYI will be updated to XPM.

Cabinets and Categories

Cabinet and Categories are synchronised to Onboard Me:

• Onboarding Documents must be mapped to a Cabinet, and Work Type/Year if required.
• Engagement Documents must also be mapped to a Cabinet, and Work Type/Year if required.

Documents

Signed Engagements, Client Onboarding PDF Summaries, documents collected during Client Onboarding and EForm PDF answer sheets are synchronised to FYI once completed or accepted in OnboardMe.
