20.11.2025

New

  • For practices on the Pro and Elite plans, we have introduced a new Automation Step, Copy Document. This new step allows practices to automatically copy documents based on an Automation Filter, or a document created earlier in the process. Practices can choose to copy details from the original document, such as Filing Details, or configure the settings separately within the Automation Step. Refer to Process Step Details - Copy Document.
     
  • We're excited to announce a new integration with Xama AML, available to our UK practices. Xama provides accountants with an all-in-one solution for Anti-Money Laundering (AML) compliance, covering identity verification and risk assessments. Using the integration, new and existing clients are automatically synced from FYI to Xama, allowing practices to keep track of client risk assessment information that is synchronised to specific FYI Client Custom Fields.   • We have introduced a new Skip & Continue option when running Automation Processes. This option allows users to continue running a process when a step cannot be completed. If a later step depends on the skipped step, users will need to manually create or select the required information before the process can continue. Refer to Automation History.

For practices on the Elite plan:

  • We have introduced new User Group permissions for Time and Invoices for practices with FYI as the Practice Management source. These permissions give practices greater control over which users can create, edit and approve invoices, and view or edit time and disbursements, providing improved control and security.

    For existing practices, these permissions have been enabled for all User Groups to ensure there is no impact on current users. We recommend FYI Admins review and update permissions for individual User Groups as required. Practices are also encouraged to file invoices to a separate Cabinet that is only available for the relevant User Groups, to prevent unauthorised access from the Documents List. Enhancements

  • We have introduced personalised links for practices using New Collaborate when sharing the Client Folder, Upload Folder and Document Attachments through Merge Fields in Email Templates. When the email is sent, FYI uses the Merge Field to insert a link for each recipient in the To field. If multiple recipients are included in the To field, multiple personalised links will be displayed in a list in the email. Recipients added to the cc field will not receive a personalised link.

    When a recipient clicks their personalised link, the correct user account is automatically chosen, streamlining the login process. Users are then prompted to enter their password before accessing the site. Refer to Login Experience for Clients using New Collaborate.
     
  • We have added a new collection of loading screen puns, complete with authorship credit for the practices that created them, contributed through a recent competition. Thank you to all practices that submitted entries, and congratulations to the winning contributors whose puns now appear within the platform.
     
  • We have made several enhancements to Automation Processes:  
    • When using AutoTime to create time from completed tasks, we have introduced the ability to configure Time Custom Fields directly from the Time section of the Automation step. When the time entry is created, the Custom Fields are updated according to the Automation settings or inherited from the job assigned to the task. Refer to Process Step Details - AutoTime and Process Step Details - Create Task.
       
    • We have added the Addressee field to the Create Client and Update Client Automation steps. Merge Fields are available to update the Addressee as required, including when importing data using the CSV Import Automation Filter. Refer to Process Step Details - Creating and Updating Clients.
       
  • For practices integrated with APS, CCH, IRIS, or MYOB, email addresses with leading or trailing spaces are now synchronised to FYI with the spaces removed. If an email address contains invalid characters, an Action Required event will be recorded in Practice Activity. Refer to the individual integration articles for details on the synchronised source fields for each system.
     
  • For practices on the Elite or Pro plan with FYI as Primary enabled, the 'Same as Physical Address' client setting can now be selected as a merge field in the Update Client step of an automation. The merge field acts as both a true and false condition, so that users no longer have to choose from the manual drop-down when updating the Postal Address field. When the merge field is selected, if the setting is ticked, the automation updates the postal address to match the physical address. If the setting is unticked, and postal address details exist, the automation will use those values to update the client record. Refer to Process Step Details - Creating and Updating Clients.

For practices on the Elite plan: 

  • We have introduced new enhancements when creating and editing Invoices. Refer to Opening and Editing Invoices.
    • Users can now click and drag to re-order jobs when creating and editing invoices, with the saved order reflected in both the invoice in FYI and Xero. This order will be retained, so that if the user creates another invoice with the same jobs, the order will be applied by default.
       
    • We have introduced the ability to expand the Invoice Description field to full screen when creating and editing invoices. This provides additional space for longer descriptions and improves readability.

Resolutions

  • We resolved an issue affecting practices using the Generic Practice Management Software integration that prevented the Physical Address from being updated when importing client data.
  •  When using the Zapier integration, Client Groups are now renamed when the "Create Group if it doesn't exist yet" option is enabled and the Client Group already exists in FYI.
  • For UK practices integrated with IRIS, we have resolved an issue where syncing invalid custom fields, including invalid NIC Number fields, caused errors and triggered more frequent synchronisations. Custom fields now synchronise correctly and full syncs only occur when required.
  • For practices integrated with MYOB PM (formerly GreatSoft), the ClientSalutation field will now synchronise to the corresponding salutation field in FYI, and be displayed on the Client List and Client Summary.

For practices on the Elite plan:

  • We have resolved an issue where running an Automation process using an Employee view would incorrectly display an error that a client could not be found.
  • When selecting the "Time Entry" toolbar option from Documents lists, draft Time entries are now created successfully.
  • Time entries created from My Time > Calendar now correctly default to the date selected in the calendar, instead of defaulting to today's date.
  • We have resolved an issue where only the selected Client's Billing job appeared when creating a Workflow job from the Client workspace. All Billing jobs for the Client Group now display in the Billing job drop-down.

New

  • For practices in the UK, we're excited to announce a new integration with AMLCC, allowing practices to seamlessly sync client and contact data from FYI. Clients can be added individually or imported in bulk, saving time and reducing manual data entry. Refer to Announcing the new integration with AMLCC.

Enhancements

  • For practices using New Collaborate, we have improved the login experience when a link is shared to the New Collaborate site.

    In the Collaborate tab and Sharing Settings window, we have introduced two new buttons, Copy Share Link, and Copy Upload Link, displayed next to the name of each guest user. This replaces the generic site links previously available in the Options drop-down. When selected, FYI will copy a dedicated URL for the user and when the link is accessed by the client, the SharePoint site will automatically be directed to the relevant user's account, prompting them to enter their password. 

    If the link is generated by a Merge Field, or when copying the link from the top-right corner of the Sharing Settings window, the URL will not display the user's email address. Instead, the URL will be appended with a login hint that forces the SharePoint site to ask the user to select their account. Refer to Sharing the New Collaborate Client and Upload Folders.
     
  • For practices on the Elite plan:
    • When viewing Tasks on the Home - My Tasks or Delegated Tasks tab, Employee Tasks will now be displayed, in addition to client tasks. This means that users will be able to have a single list to view all tasks assigned to them, or where they have delegated tasks to another user. Refer to Displaying Tasks from your Home.
       
    • We have made several improvements to the Add Time window when selecting WIP on an invoice. Refer to Work In Progress (WIP) Overview.
      • The default sort order has been updated to display WIP entries by the Date column, newest to oldest. 
      • Where WIP entries have been selected, and the list is re-sorted, the entries will remain selected. 
      • When using Bulk Update to allocate WIP to a different job, the Client Name will be displayed under the Job Name. 
         
    • Job Category and Job Number columns are now available from the Column selector in Time and Invoices lists. Additionally, Invoice Number is now an optional column available on Time lists. Each column supports sorting, filtering, pinning, grouping, reporting and saving a view, making it easier to analyse key job and invoice details. Refer to Using the Invoices Lists and Practice Time.
       
    • We have introduced a new Beta, Non-Proportional WIP, to allow users greater control over how WIP is allocated when creating Progress and Final invoices. When creating an invoice and selecting WIP from the Add Time window, users will be able to create System Write On/Off time entries, or manually adjust the Invoiced Amounts or Write On/Off values for each WIP entry. Users can also enter formulas into the relevant field to calculate the values. For more information, or to sign up for the Beta, refer to Non-Proportional WIP Allocation (Beta).
       
    • For practices migrating time and invoices from MYOB AO/AE (Beta), we have enhanced the synchronisation of interim time entries. The billable rate will now be updated to equal the billable amount. Refer to Creating Interim Time Entries.

Resolutions

  • When sharing a link to the Collaborate Upload Folder by email using the Client Upload Folder Link Merge Field, the URL will be populated correctly when the email is sent.
  • When using the CSV Import Automation Filter, clients in FYI can now be matched using Tax File Number, IRD, or VAT Number. A match will only be found where the relevant tax number has been stored in full in FYI. For practices integrated with Xero Practice Manager, Tax Numbers synced to FYI will only display the last three numbers due to security reasons imposed by XPM, and will not be matched by the CSV Import.
  • We have resolved an issue where document templates could be created with incorrectly formatted merge fields in the Template Name field. Merge fields will now be validated, and an error message will display if the format of the Template Name is invalid.
  • For practices on the Elite plan: 
    • We have improved the Capacity Planning Report to add support for tasks to use Job Custom Fields for the Task Due Date. 
    • When refreshing a Capacity Planning Report, the report will try to load the new data for up to 10 minutes. If the data cannot be loaded in this time, for example, for larger data sets, it is recommended to run a new report, rather than refresh the data.
    • Following the update in October 2025 to introduce the new Date column on Time Lists, we have now removed the Date (Legacy) column.
