When a form is submitted, either via a client form, general form or internally by a user of the practice, the Workflow Status will be set to Submitted.
Forms submitted via an external link (known as a general form) are created as new Form documents in FYI.
When a client form is Submitted, the existing Form is updated in FYI.
Identify Submitted Forms
To display Submitted Forms, the Type column of the Documents List can be filtered to display Forms only, with the Workflow column filtered to the Submitted status. Refer to Sorting and Filtering Lists.
This view can then be saved, to allow users to find submitted forms easily, and to use with Custom Automation Processes, for example, to notify a user when a submitted form is received.
Important Note: Responses submitted via General Forms are not linked to a specific client in FYI.
Accessing files uploaded using a Form
Any documents uploaded using the File Upload section of a form are automatically filed to FYI, once the form has been submitted. The uploaded documents are stapled to the original Form document for easy reference.
Note: Uploaded documents cannot be accessed from within the form record.
Notify your Team when Forms are Submitted
Using the Summary Notification automation step, an FYI Admin, or a user with permissions for Automations, can create a Custom Automation Process to notify users when a form is submitted, for example, the client manager.
Ensure the Filter is set to a Document List filtered to display only Submitted forms, with the Run Only Once Per Document option enabled.
