The second half of 2025 is in full swing, and August gifted practices with a powerful lineup of new features and smarter enhancements.
August introduced an exciting new integration with The Gap, giving practices the ability to sync documents such as Session Records, Business Plans, and more directly into FYI. The integration matches clients in FYI and The Gap by identifying the closest client match using the client’s name and Xero ID. Users can also manually select the correct client from a drop-down menu if necessary. It is important to note that this is a separate integration from The Gap Portal, designed specifically to streamline the process of managing advisory documents within FYI. Elite practices had three major additions to their platform this month, with the release of Team Productivity, Enhanced Time and Invoice Grouping and Interim Invoices for Workflow Jobs:
Team Productivity introduced a new Home - My Team workspace. This feature provides real-time insights into team performance, displaying metrics such as Actual Hours, Expected Hours, and productivity percentages. With this information easily accessible, FYI Admins and users with permissions to manage employees can quickly identify variances, address bottlenecks, and follow up with staff to ensure time is recorded accurately.
In addition to this feature, a new Missing Timesheets view is available, which displays users whose total time entries fall short of their expected hours. The view can be included with Automations to automatically send reminders to staff to enter their remaining time. To further improve flexibility, additional Date Filters are also available, including the ability to enter a specific date range of up to 60 days. Enhanced Time and Invoice Grouping was also released to Elite practices, giving practices the ability to group Time and Invoice lists by Year, Month, Week or Day. This makes it easier to organise and analyse large volumes of data, without the need to run a report. Datasets of up to 50,000 rows can also be grouped and view totals directly within the view. These enhancements give practices clearer insights, greater control and more efficient ways to track their time and invoice data. Refer to Grouping Invoice and Time Lists.
The final new feature for Elite practices saw the ability to create Interim Invoices for Workflow Jobs. This allows practices to create interim invoices directly against Workflow Jobs, offering more precise WIP tracking and improved efficiency. When interim time entries are deleted, recalculations are also now automatically handled across both Billing and Workflow Jobs. In addition, interim time entries are now automatically allocated to Workflow Jobs when unbilled WIP is imported. Further to new features, the following enhancements were made to Elite platforms:

The Time Bulk Update feature restored the ability to bulk delete time entries. Draft, In Progress, and Interim entries can now be permanently deleted, while Submitted entries may be restored if required. Invoiced and Locked entries remain protected from deletion, ensuring important records are not accidentally removed. Refer to Time and Disbursements Bulk Update.

For practices migrating to Elite, the WIP Import validation process was improved. The Issue Report CSV now highlights errors when Billable Amounts do not match the values calculated from the Billable Rate and the recorded Quantity or Time. Once the import is successful, Practice Activity will display the Billable Amount that has been successfully imported into FYI, rather than the total from the CSV file. For all practices, several enhancements were delivered this month to further improve integrations and usability.
An Optimised Custom Field Sync for practices integrated with Xero Practice Manager is being progressively rolled out. This introduces an event-based, bi-directional sync that replaces the overnight sync. Any updates to Client or Job Custom Fields in FYI are now pushed to XPM in real time, and vice versa. While changes made in XPM by third-party apps will only sync back if triggered by a manual update or by FYI’s event-based sync, maintaining Custom Fields directly in FYI is strongly encouraged to ensure the best performance. The Collaborate Status Check has also been improved. It now detects and resolves misconfigured Visitor Group permissions for both Default and Client Secured Collaborate Sites, ensuring secure client access. The Status Check can be run from the Automations Dashboard in the Collaborate App or, for Client Secured Sites, directly from the client’s Sharing Settings.
Finally, small but helpful usability improvements have been made to Automation Processes:
- When adding an Automation Step, users can now use a new Filter field to display only matching Automation Steps, making it easier to configure complex processes. Refer to Automation Process Steps.
- Automations have been refined so that when a process is triggered, the Sender is automatically set to the Owner of the process. This prevents errors such as “Specified sending unavailable, creating as draft under process owner user” and “Skipping invalid merge field” from being displayed.
