Integration with Vinyl

The FYI Integration with Vinyl keeps your client records and meeting notes seamlessly connected by automatically syncing client data, linking meetings to relevant client files, and creating meeting records in FYI.

Features of the Integration

The Vinyl integration keeps your client records and meeting notes seamlessly connected by automatically syncing client data, linking meetings to relevant client files, and creating meeting records in FYI.

• Seamless data sync: Import your clients, contacts, and groups directly from FYI into Vinyl, keeping records aligned across both platforms. Updates to clients and contacts are synchronised overnight.
• Automated meeting capture: Once a meeting has been processed in Vinyl, new Meeting records are automatically created in FYI and linked to all relevant client files. Meeting Records include an overview, summary, and action items. If the email address has been used for multiple clients in FYI, the Meeting Record will be created for each client.
• One-click access to recordings: Every FYI meeting note includes a direct link back to the Vinyl recording for easy reference, including a full transcript.

Please note that Vinyl currently supports one active practice management integration at a time. For practices where Vinyl has been integrated with Xero Practice Manager, this will need to be disconnected before enabling the integration with FYI.

Connecting Vinyl to FYI

Step 1 - Obtain the Access Key ID and Access Key Secret from FYI

This step can only be completed by an FYI Admin or a user in a User Group with permissions enabled for Automations. 

1. In FYI, click the Automation menu option.
    
2. Click on the Apps tab.
   
3. Locate the Vinyl app, and click the cog icon.
   
4. Click Create new secret. This will generate a new Access Key ID and Secret Key used to connect to FYI.
    
5. The Access Key Secret and Secret Key ID will be displayed. Click the clipboard icon next to each code to copy and paste it to Vinyl or a secure location, for example, a vault.
   Important: You will only be able to view the Secret key the first time this window is displayed. If the Key is required again, you will need to disconnect your integration and request a new Key before you reconnect your integration.
    
6. From the AutoFile Defaults section, select the Cabinet where new Meeting Records created by Vinyl will be filed in FYI.

Step 2 - Adding the FYI Access Key and Access Key Secret to Vinyl

1. In Vinyl, click the Integrations menu on the left-hand side.
    
2. Find FYI and click Connect to FYI.
    
3. Enter the Access Key ID and Access Key Secret copied earlier.
    
4. Click Submit. 

Using the Vinyl Integration

Once connected, data will begin synchronising between FYI and Vinyl automatically. Meetings created by Vinyl will be available within FYI from the Documents List as a Meeting record.
