June 2025: What's New and Improved

We're now halfway through the calendar year of 2025, and June has delivered some much-anticipated new features and enhancements, giving practices greater flexibility, efficiency and control. From smarter automation, expanded integrations and time-saving updates for Elite plan practices, this month's enhancements were aimed at making your everyday more efficient and intuitive.

For our Elite practices, it was an exciting month with the release of My Time - Calendar. This familiar calendar-style view, provides a visual and interactive way to manage time entries, in addition to the already available Group and Productivity Dashboard. Users can toggle between Day and Week views, create and edit time entries within the calendar, and drag and drop entries to quickly reorder them. Other features include colour-coded time types, quick action buttons and customisable increments, as well as flexible formats such as start/stop or fixed time. This new feature gives users more preference and control over time tracking, making completing time sheets even more efficient. Refer to Announcing My Time - Calendar.

Continuing this month with new features, our UK practices can now integrate with BGL CAS360. This integration enables daily import and automatic filing of completed corporate documents, annual statements and resolutions. Practices will be able to reduce their administrative time by eliminating manual filing steps and keeping client records up-to-date, leaving more time for client matters. We’ve introduced a new Clear button to selected fields when using Bulk Update or configuring an Automation Process for Clients or Jobs. This allows practices to efficiently remove outdated or incorrect information without having to manually clear each field. When this Clear option is selected and the update or automation is run, any existing values in the field will be removed. This can be especially useful for maintaining clean, accurate data when transitioning responsibilities or updating outdated job information.

In addition, the Merge Field Editor in Automations now includes a new option for fields that support clearing. When a Merge Field returns blank data at runtime, users can now choose to either retain the existing value or clear it automatically. This gives practices greater control and flexibility over how fields are updated based on dynamic data. FYI Admin Users have been given more control and visibility when managing Custom Fields. Custom Field definitions (whether created in FYI or synced from XPM) can now only be deleted if they are not used in saved views, automation filters, or merge fields in a process step. If an FYI Admin attempts to delete a field that is still in use, a warning message will appear, with direct links to the affected processes or views. Further improvements have been made when a field is successfully deleted, the action is recorded in Practice Activity, noting the field name, user, and timestamp. A new Activity section in the Custom Field drawer also tracks field-level changes, providing a comprehensive audit trail. Refer to Managing Custom Fields.

To ensure that recipients always receive the most current version of a document, the Share and Share - No Email options are now disabled for documents currently being edited, including those in Co-Edit mode. This prevents users from unintentionally sharing in-progress documents. A message appears when you hover over the disabled buttons, advising to complete editing before sending the document. For practices on the Elite plan, several enhancements were made to various features of the platform:

  • Create Bulk Email Automation, attaching Invoices and Credit Notes - You can now automatically attach invoices and credit notes to emails using the Create Email step in an Automation Process. This streamlines the invoicing workflow and ensures timely communication with clients. To enable this feature, the invoice or credit note must have an assigned number to generate the PDF attachment. We recommend configuring a filtered Invoice view to ensure only finalised invoices are sent. Refer to Process Step Details - Creating Emails, Documents and Tasks.
     
  • Billing Job Field displayed when Creating Individual Time entries - When entering Time or Disbursements for a Workflow Job, a new Billing Job field is now displayed. This field provides a link to the corresponding Billing Job Workspace, which opens in a new tab. This enhancement improves transparency and makes it easier for team members to validate or cross-reference billing data. Refer to Creating Individual Time Entries.
     
  • Enhancement to Bulk Update for Billing and Workflow Jobs - To protect data integrity, we’ve added a new safeguard to Bulk Update for Jobs. If you select both Billing Jobs and Workflow Jobs from a list, you can no longer update their Job State to Cancelled, Completed or Archived in a single action. A separate Bulk Update must be run for each Job Type. If both types are selected, an error will appear, and the update will not proceed, even if the user clicks Run again. This includes ensuring a separate view filter is created for Billing and Workflow jobs when updating the job state using the Process Step - Update Job.
