Alert "Invoice sync is still in progress, we will resume it tomorrow."

Issue

When synchronising invoices and credit notes from Xero Ledger, the following alert is displayed in Practice Activity:

  • Invoice sync is still in progress, we will resume it tomorrow.

In addition, not all PDF previews for invoices or credit notes may be available within FYI.

Cause

Xero uses Rate Limiting, meaning there is a set number of requests that can be made each day to synchronise data between Xero and FYI. Each time an invoice or credit note synchronises, a request is used.

When synchronising a large amount of data between FYI and Xero, the total number of available requests may be used, and the sync will not be able to be completed. In this case, FYI will pause the sync, and once more requests become available will resume synchronising the remaining invoices and credit notes.

The message is displayed in Practice Activity to ensure that users are aware that the sync is still in progress.

To best prioritise the data that is synchronised to FYI, invoices and credit notes are synchronised in the following order, based on the Migration Date selected in the Practice Ledger app:

  1. After the Migration Date - "Awaiting Payment" status, followed by PDFs displayed in the Preview in FYI.
  2. Before the Migration Date - "Awaiting Payment" status, followed by PDFs displayed in the Preview in FYI.
  3. After the Migration Date - remaining invoices and credit notes.
  4. Before the Migration Date - remaining invoices and credit notes.
  5. Any new unpaid invoices created after the sync began.
  6. Update outstanding amounts if payments were made after the sync began.
  7. The remaining PDFs that have not yet been synchronised for any invoices and credit notes.

If an invoice or credit note has been created in FYI, but the PDF is not available, it may still be queued to sync from Xero.

Solution

No action is required by the user.

FYI will automatically resume the remaining invoices and credit notes when more requests become available.
