We've started the new year strong and rolled out several updates to the platform, making it easier for you to manage client details, streamline communication and enhance workflows. 

For practices integrated with Xero Practice Manager (XPM), the Client - Summary fields for Mobile and Salutation will now automatically default to the Primary Contact details. This ensures that these fields stay up to date with the most relevant client information. If no Primary Contact is selected, the email field will remain blank. To make it even easier, a tooltip will now indicate where this data is coming from. Users can click the icon to be redirected to the Contacts tab, where they can view the Primary Contact details.

For practices where FYI is enabled as the Primary source for Client Maintenance, users with permission to edit Clients can update the Primary Contact details by setting a Mobile and Salutation at the client level. 

For practices that do not have FYI set as the Primary source and where a Primary Contact has not been selected, the Mobile and Salutation fields will continue to display their current values. Next month, an additional enhancement will allow these fields to update automatically when a new Primary Contact is chosen in XPM.

To improve efficiency when creating an email in FYI, users can now select Client Custom Fields with the Type 'Email' as a recipient. These email addresses will be displayed in the Select Client Email Custom Field section of the recipient dropdown. This update makes it easier to send emails to client contacts who may not be listed as standard contacts but still need to receive important communication. We've also made changes to New Collaborate settings to make them reflective of their intended purpose. The Collaborate app has been renamed to Collaborate - Client, making it clearer that this feature is designed for collaboration with clients. Additionally, the Retain Client Uploads in Collaborate site setting has been renamed to Retain Uploads, a simpler and more accurate description of its function. For practices integrated with NowInfinity, we’ve enhanced the document import functionality to make it easier to manage unmatched documents. When the new option Import unmatched document to the In Tray is enabled, if a document is imported but no matching client is found in FYI, users now have the option to automatically file the document in the In Tray of the automation process owner. This means unmatched documents won’t get lost or require manual filing in FYI.

For practices on the Elite plan, we introduced several improvements to various features:

  • Draft Job Templates for Workflow Jobs can now be created before selecting FYI as the Practice Management source. This means practices can plan and structure their job templates in advance, ensuring a smooth transition to the Elite plan.
  • When converting a Job Type from Standard to Workflow, either individually or using Job Bulk Update, the Billing Job dropdown will now display the Client name below each job name. This makes it easier to select the correct job when multiple similar jobs exist for the same client or group. Refer to Converting Standard Jobs to Workflow Jobs.
  • We introduced a Source column in Time Lists. This allows users to filter and group time entries by their original source, whether they were imported from WIP Import, FYI, XPM, or Zapier. This new column provides greater visibility into where time entries are coming from, helping users better track and manage billable hours. It's important to note that this information will be available only for time entries added from the evening of January 30 2025, onwards. Refer to Time Overview.
