Jobs Workflow Jobs Tab

The Workflow Job tab is displayed on the Billing Job Workspace, and displays details of the underlying Workflow Jobs assigned to the Billing Job.

Workflow Job Layout

The Workflow Job tab is displayed similarly to the Jobs List. Users can add and remove columns to these tabs as required, however, changes to the view cannot be saved.

Pro plan Elite plan

The Workflow Jobs assigned to the Billing Job will be displayed. Key information is available at a glance, including the Due Date, the Variance in hours, and the Job Partner and Manager.

Workflow Job tab Functions

Toolbar

The following standard toolbar functions are available on the Workflow Job tab:

Select all button
2301 List Select 50 or Select All.gif
Used to bulk select jobs in the list. 

Hide/Unhide the Inactive Jobs

Used to show or hide jobs with a status set in FYI with the Type set as "Completed", "Cancelled", "On Hold" or "Archived".

List or Board mode

Displays Workflow Jobs in either a List, or a Kanban-style Board based on the Job Status. 

This button will not be displayed when one or more Workflow Jobs have been selected in the list.

Sync

Used to perform a manual sync with Xero Practice Manager. 

The sync button will only be displayed in Board view, and available to practices integrated with Xero Practice Manager where the option "Maintain Jobs in FYI" is toggled off in the Xero Practice Manager app in FYI.

Refresh
1293 Refresh.gif

Refreshes the Workflow Jobs list to show updated information. The time of the last refresh will be displayed on the left.

View Tools

Allows users to reset the view to the default settings, or export the Documents List to a CSV file.

Note: The "Save View" option is not available from the Workflow Job tab. Job Views must first be created from the Jobs List to be available to select in the Workflow Jobs tab.

Job Functions

When the checkbox in the list is used to select one or more Workflow Jobs, the functions below will be displayed in the toolbar.

Function Details
Open

Opens the Workflow Job Workspace.

Bulk Update

Allows users to apply updates to the Workflow Job, for example, to update a Job Custom Field.

Not available in Board mode.

Run Automation

Used to run Manual Automation Processes against the Job from the list. 

The user must belong to a User Group with the "Run from Lists" permission enabled.

Job Link

Creates a hyperlink to the selected job within FYI. The Job Link is copied to your clipboard and can be pasted outside of FYI.
Cancel

Deselects the Workflow Job selected.

Column Functions

Function Details

List icon

Hover over the column heading and click the List icon. The following options will become available:

  • Pin Column: One or more columns can be pinned to the left or right, similar to Excel's "Freeze Panes". Pinned columns are indicated by a vertical line in the list.
  • Autosize This Column: Adjust the selected column width to fit the contents.
  • Autosize All Columns: Resize all columns currently displayed to fit the contents.

Note: Autosizing and pinned columns will reset to default settings upon leaving the list or changing views, unless the view is saved with the changes made.

Filter icon

The Filter icon is displayed as a funnel with three horizontal lines.

Click the icon to filter the options as required, or click Reset to return to the default settings.

When a column has been filtered, the Filter icon will be displayed in green.

Note: If the icon is not displayed, that column cannot be filtered.

Column Order Drag and drop the column heading to change the order in which columns are displayed within that list.
Column Width Drag the edge of the column heading to increase or decrease the width of the column.
Tip: Double-click the edge of the column to automatically resize the width to fit all contents.
Adding Columns

Click the Columns tab on the left-hand side. Columns that are saved in the current view are displayed in alphabetical order.

Search and tick additional columns in the list to add the Column to the view. 

Tip: You can search for columns at the top of the Columns tab. 

Removing Columns

To remove a column from the list:

  • Click the Columns tab on the left-hand side. Untick columns to remove them from the view, or
  • Drag the column anywhere off the list area. The column will be removed and will display as unticked in the Columns tab.

Columns Tab

Displayed on the left-hand side of the list.

Click the Columns tab to expand the tab. Columns that are saved in the current view are displayed in alphabetical order and with a Green tick. Additional columns that can be included in the list are displayed as unchecked.

Tip: The width of this section can be dragged left or right.

Filter Tab

Displayed on the left-hand side of the list.

Click the Filter tab to expand the tab. Click and expand the column you want to apply the filter to.

The filter icon displays next to any columns that currently have a filter.

Job Icons

The Billing Job tab will display various icons on the right to allow users to easily identify additional information about the job. For example, if there are tasks or comments against the job.
