Implementors: Migration Audit Report

A Migration Audit Report is automatically generated each time the FYI Migrate App completes a successful sync. The report is a .CSV report that gives a summary of the total files and documents that have been migrated and lists any errors and excluded files with the reason for the error or exclusion.

Your Onboarding Consultant or FYI Implementor will review this with you as part of the onboarding process.  Once your migration is complete, we recommend to review the audit report to ensure you are comfortable with your migration.

This article will explain how to locate and review the audit report.

Generating the Report

The Migration Audit Report is generated after each migrate has run and completed. The file is generated with the following filename and location:

 %APPDATA%\FYI Migrate\Reports\Migration Audit Report.csv

The Migration Audit Report is automatically uploaded as a document within FYI. It is added to the Cabinet FYI Migration which is automatically created in your platform.

For each sync of the Migrate App, a new version of the Audit Report will upload as a threaded copy.  The audit reports will be time stamped at the time the app completed the sync.

Errors and Exclusions

The following is a summary of the errors and exclusions that are reported in detail.

Ensure that you have reviewed What Data is Migrated to FYI to understand any additional exclusions that Migrate App applies.

Status Reason Explanation
Error

Failed to upload file

The file or the .metadata failed to upload for some reason such as it is unable to locate the file or does not have access.

Error File size is 0, this may indicate a read error or a corrupted file The file contains no data due to a read error or is a corrupted file in the historical data source.
Error Error reading directory, file count may not be accurate The file may be saved to a folder that has permissions applied that the user running the migration does not have access to.

Error

Document file not present in file store

The file no longer exists, for example, it has been deleted in the historical data source.

Error

File is available online only...

The file has not been synced locally and cannot be uploaded.

Error

Failed to get document stream

The documents were unable to be accessed at the time of running the Migrate app.

Excluded

Not present in DMS or not latest version

For Database-backed migrations, the filename is not present in the documents retrieved from the database, or the version is not the latest.

Excluded

Excluded due to filename filter

Excluded due to filename filters, no extension, temporary files, etc.

Excluded

Size equal or greater than 2GB

The file is equal or greater than 2 gigabytes, so will not be uploaded.

Warning

Previously uploaded document missing from datastore

A file was previously uploaded in a prior migration run, but it is now no longer present at this exact location. This can lead to more documents or duplicate documents in FYI, if the files have changed name, location or have been removed from the migrate app source location.

Warning

DMS document file not present in datastore

For Database-backed migrations, the filename for a document is not present on disk in the folders selected.

If you have any questions regarding the Migration Audit Report, please be sure to contact your Onboarding Consultant or FYI Implementor.
