FYI Desktop is a purpose-built application you can use to edit any FYI document independently of OneDrive locally on your computer. To use FYI Desktop, it first needs to be installed and enabled on your computer.
FYI Desktop will not open when downloading or uploading files. All edits are performed using Microsoft applications or a PDF editor. You do not need to interact with FYI Desktop to edit files.
Using FYI Desktop to edit an FYI document
Once FYI Desktop is installed, your Profile settings determine whether a document opens in the FYI Desktop App.
Setting FYI Desktop as the default changes how documents are opened:
- The Edit button will default to opening documents in FYI Desktop.
- Select the Edit icon next to the document to open it with FYI Desktop.
You can still use FYI Desktop to open a document when it isn't set as the default:
- Select the arrow next to Edit, and select Edit in FYI Desktop from the drop-down.
- Select Edit in FYI Desktop when displaying the toolbar as a pop-up menu from the Edit option.
Editing and saving documents
The document will be downloaded and automatically opened in the relevant application.
Once a document is being edited using one method it is locked and cannot be edited using a different method. If you need to change how you are editing, check in the document first. Co-edit can only be used when editing via OneDrive.
- Edit your document as required.
- Save your changes in Office or your default PDF editor. Alternatively, enable auto-save in Office.
- Once all changes have been made, use FYI Desktop to select finish editing and sync the changes to FYI.

The FYI Desktop icon displays in the Windows taskbar at the bottom of the screen. (KS alt: Click the FYI Desktop icon to open the app, available from the Windows taskbar at the bottom of the screen.)
If the icon isn't displayed, select Show hidden icons in the Windows taskbar and drag the FYI Desktop icon onto the Windows taskbar.
The FYI Desktop window displays the documents you currently have open and any documents you have closed but not yet marked as finished editing.
You can also open a document from the FYI Desktop window by selecting the vertical ellipsis icon and selecting Open.
Removing documents from FYI desktop
Selecting a document in the FYI Desktop App pop-up gives the option to Remove Document.
Only use Remove Document when instructed by FYI Support, for example, if you are offline and the document cannot sync to FYI. Close the document locally before removing it from the FYI Desktop window.
Documents in the FYI Desktop folder
You can see the documents currently being edited in the folder selected when FYI Desktop was installed, in the configuration settings, for example, C:\Users\yourname\Documents\FYI Desktop.
The file name displays as the document name in FYI followed by the FYI Reference number. Don't rename or remove files from this folder to ensure changes can sync to FYI successfully.
