The New Collaborate Display Name feature allows practices to customise a Guest User's name independently from the FYI Contact name. These Display Names are entered within the New Collaborate Sharing Settings and are exclusive to the New Collaborate SharePoint site, without impacting the Client or Contact names stored in FYI.
Note: To use this feature, the OneDrive Admin must have the User Administrator Role assigned in Microsoft 365.
Display Name Overview
The Display Name is determined based on Contacts, Primary Contact and Clients. When a Guest User is added to the Sharing Settings, the default Display Name selected for the Guest User is based on the following criteria:
Contact Email Match | Display Name |
The Guest User's email address matches one Contact in FYI. | Display the Contact's name. |
The Guest User's email address matches multiple Contacts in FYI. |
If one Primary Contact exists, display the Primary Contact's name. If multiple Primary Contacts exist, the name that appears first alphabetically will be displayed. If a Primary Contact does not exist, the name that appears first alphabetically will be displayed. |
The Guest User's email address does not match a Contact in FYI. |
If a Client match is found, display the Client's name. Where a Client match is not found, the Display Name will be based on the email prefix. |
Editing a Guest User Display Name
- Display the Client - Collaborate tab for the relevant client.
- Click Sharing Settings to display the Sharing Settings pop-up.
Note: If the Sharing Settings button is red, there is an error with the Client Folder, for example the client's name does not match the folder name. Click the Sharing Settings button, then click the Settings tab to check for errors.
- The Sharing Settings window will be displayed.
- Click Edit next to the Guest User Display Name. A message will display to confirm you want to change the Display Name.
- Click Yes. The Display Name field will become available for editing.
- Enter the new Display Name.
- Click Save next to the Display Name.

Close the Sharing Settings window.
A message will display in Practice Activity to confirm the change.
The Display Name will be updated:
- On the Sharing Settings for all clients where the user appears as a Guest User.
- In Microsoft Entra's Display Name and reflected in Azure Directory.
The Guest User will also see the updated name when they log into the Collaborate site.
