Configuring your Client Collaborate Settings

After you have created and configured your default Client Collaborate site, you can revisit and update your settings at any time.

Managing Client Collaborate Settings

  1. In FYI, click the Automation menu option.
     
  2. Go to the Apps tab.
     
  3. Locate the Collaborate - Client tile and click the cog icon.

  4. The Collaborate - Client settings will be displayed.

  5. Click Configure. The fields will become available to edit. Refer to Collaborate Settings below.

  6. Click Next.
     
  7. Update the Folder Structure list if required. Any changes will only apply to documents shared from that point on. Existing documents will use the previously selected Folder Structure, and will not be updated.

    Note: These settings will apply to both Client Collaborate and Client Secured Collaborate sites. Refer to Summary of New Collaborate Folder Structure.

  8. From the Available List in the left-hand pane, select and drag the relevant fields to the Structure List in the right-hand pane.
     
  9. Then drag the selections in the Structure List up and down to order the fields, so they match the filing structure you want.

    Note: When Folders are created on the New Collaborate SharePoint site, invalid characters will be omitted from the folder name, for example, full stops or forward slashes.
     
  10. Click Next.
     
  11. The configuration will be saved.

Collaborate Settings

Field Details
Collaborate Site The name of the Client Collaborate site. This is used for the default practice site and does not apply to Client Secured Collaborate sites.

Note: If you choose a different SharePoint site or create a new Client Collaborate site, all Share Settings will be reset, and you will need to re-add all users.
Document Library The location of the New Collaborate client folders on the SharePoint site.
Microsoft Group

The name of the Security Group used to control sharing and access to documents.

Note: It is not recommended to use the groups "All Users" or "Everyone" to ensure documents remain secure. For any concerns, please refer to your Microsoft 365 Admin or IT professional.

Default Email Template Used to automatically select an email template when sharing documents with your clients. If preferred, this field can be left blank, and a default email template will not be selected when sharing documents.
Retain Uploads

Controls whether client files will remain on the SharePoint folder after being imported to FYI. If set to Yes, it will be moved to the "Processed" folder, located within the Upload folder. If set to No, client files will be deleted from the SharePoint site. Refer to Upload Experience for Clients using New Collaborate.

This setting will only affect the default practice site. Client Secured Collaborate sites can be managed independently from the Sharing Settings window on the Client - Collaborate tab.

Personalised Links

Allows practices to control whether to personalise New Collaborate links inserted onto Email Templates using Merge Fields.

The option selected will also apply to Client Secured Collaborate sites.

  • Enabled - links are personalised to automatically select the recipient account when accessing the New Collaborate site. Where there are multiple recipients on the email, document links will be grouped by recipient. For links to the Collaborate Site or a client Upload folder, the recipient is shown first, followed by the clickable link.
     
  • Disabled - the site instead uses the Microsoft account currently signed in. If that account does not have access, the user will be unable to continue.
