Note: The MYOB migration to FYI Practice Management is currently in Beta. To join the Beta, please contact Support.
For practices migrating from a practice management source such as MYOB AE/AO, existing Rates will be migrated and pre-populated as part of the Practice Sync. Refer to Synchronising Clients, Users, and Jobs with MYOB AE & AO (Australia & New Zealand Only).
This sync will result in current and previous rates being available in FYI. To ensure that rates in FYI can be easily maintained moving forward, it is recommended that an FYI Admin reviews these rates in FYI.
Note: For practices that are integrated with Xero Practice Manager or a Generic Practice Sync, existing rates do not sync. FYI Admins are required to create new rates in FYI.
Displaying Time Rates Created by Practice Sync
Historical Time Rates will be synchronised to FYI, where the existing time rate in MYOB is associated with a time entry created when Time and Disbursements have been enabled in Practice Sync. Refer to Practice Sync Integration with MYOB AE/AO (Australia and New Zealand)
The Time Rate will be automatically assigned to the existing user in FYI.
Note: Depending on the historical WIP that has been migrated, users may have multiple rates assigned. Refer to Assigning Time Rates to Users.
To access the Historical Time Rates, an FYI Admin can:
- Click Settings in the top right-hand corner.
- Select Practice settings from the drop-down, then select Time & Invoices.
- Click the Rates tab.
-
Historical Rates will display with the following naming convention:
'Employee Name_Rate Name_Rate Amount_Source_ID'
Summary of Historical Rate Naming Convention
Rate Details in MYOB AE | Details |
Employee Name | The name of the employee as displayed in MYOB. Note, that if an Employee name exceeds 37 characters, an error creating / updating rate will display in Practice Activity. |
Rate Name | This is based on the defined rate name in MYOB that the user selects when entering time. |
Rate Amount | If the rate amount exceeds 10 characters, an error will display in Practice Activity. |
Source ID | The Source ID represents the unique identification of the original rate. This allows any changes made in MYOB to sync back to FYI, before FYI is enabled as PM source. |
Updating Rates when Practice Sync is Enabled
Before enabling FYI as the PM Source, a Practice can continue to edit Rates in their existing Practice Sync source. It is important to note the following if updating rates in MYOB prior to enabling FYI as PM Source:
Updating a Rate Amount
If the Rate Amount is updated directly in MYOB, on the next Sync the Billable and Base Rate will be updated in FYI. This will be reflected in the Activity of the Rates drawer.
Deleting a Rate
If a Rate has already synced to FYI, and is subsequently deleted in MYOB the rate will not be updated in FYI. An FYI Admin should review and ensure that this Rate is archived directly in FYI. Refer to Managing Rates for Time and Disbursements.
Reviewing Existing Rates
To ensure that rates in FYI can be easily maintained moving forward, it is recommended that an FYI Admin reviews these rates in FYI and where required:
- Create New Rates directly in FYI.
- Delete Time & Disbursement Rates that are no longer required to be managed moving forward.
