The My Imports process checks for any files that a user has added to their FYI - My Imports OneDrive folder. Whenever files are added to this folder, FYI detects this and automatically imports them.
The files are imported as FYI documents, added to the relevant user's In Tray, and then removed from the user's OneDrive folder. AutoFile defaults such as Cabinet and Categories are automatically applied to the documents, allowing the user to file the document directly from their In Tray. Refer to Using OneDrive FYI - My Imports to Automatically Import to your In Tray.
Setting up the Process to Import
- From FYI, click the Automation menu option.
- Go to the Processes tab.
- In My Imports click the cog icon to edit this process.
The Trigger is "New Document".
The Filter for this process is "Document Source is FYI - My Imports".
The Run from options are not available for Sample Processes included with FYI. Refer to Setting up Custom Processes.
To make this process active, change the Status to "Active".
The Owner is set by default as the user who made the process active and this can be changed if required. If the process fails, an email will be sent to this user as a notification. You can set this as "Me" to set yourself as the owner.
Start From allows you to enter the date from which you want to start retrieving the documents. If you enter a date in the past, this will import documents from that date, This will only import documents that have not already been imported.
Note: If you need to reset the process, for example, if the step was deleted, click Reset. This will restore the process back to the default configurations.
Process Step
The Alter Document step to import from FYI - My Imports is enabled for AutoFile, meaning the document AutoFile defaults will be automatically applied to the document in the user's In Tray. Refer to AutoFile Settings and Defaults.
This can be disabled to manually set the filing defaults if required.
