FYI Admins may need to manage users' In Trays to monitor filing activity, assist when users are on leave and ensure emails and documents are correctly filed.

Displaying Users In Trays

Draft Filed View

From any Documents list in FYI, users can select the Draft Filed view to display In Tray emails and documents with a Filing Status of Draft:

Note: FYI Admins will see all documents in all users' In Trays, while all other users can only see their own Draft Filed documents.

The Draft Filed Documents list displays as follows:

Reviewing All Users In Trays

An FYI Admin can use the Draft Filed view to review each user's In Tray to ensure emails and documents are properly filed and accessible.

Admins can filter the column Owner for one or more users to display the contents of a specific user's In Tray.

The following table describes common scenarios where an FYI Admin may need to access each user's In Tray.

Scenario Details
Checking Filing progress

Check the view to ensure users are not getting behind in filing, or if a user does not have access to a Cabinet.

Tip: Activate the Draft Filed Reminder Automation so that users stay on top of their in trays.

Inactive Users

If a user has left your practice and is now "Inactive", use the Draft Filed view to Bulk Update any emails that should be filed.

Note: If the user has already been set to "Inactive", they cannot be selected as a filter in the Owner column. Instead,  sort the Owner column to group the documents together by the user.

Troubleshooting

If an FYI Admin needs to access an email or document that a user cannot access in their In Tray. Refer to the following common errors:

Checking Email AutoFile Exclusions

Review email addresses or domains that are being imported by Email AutoFile but are not required. From the Draft Filed View:

  1. Include the From, To, and CC columns in the view.

  2. Review the email addresses displayed.

  3. Identify addresses or domains that should be excluded from Email AutoFile.

The view can be exported, and the exported file can be used to create a .csv file that is then imported into the list of Email AutoFile Exclusions.
