The Tasks tab in the Clients Workspace allows practices to review and manage all tasks associated with an individual client in one place.

Viewing tasks at a client level helps you monitor workload, identify overdue work, review tasks created by Automation Processes, and quickly access task details when responding to client queries.

Displaying Tasks for a client

The Tasks tab in the Clients Workspace displays all tasks related to a selected client. This allows practices to monitor workload, track progress, and review outstanding work for that client.

To view tasks for a client:

  1. Click Clients from the Menu.
  2. Select the relevant client.
  3. Click the Tasks tab.

The Client - Tasks list is displayed.

By default, the view displays Incomplete Tasks. You can change the View to:

  • All Tasks
  • My Tasks
  • Not Started
  • Overdue Tasks

Note: When displaying a Tasks list anywhere in FYI and clicking a client name, the Client Workspace opens automatically with the Tasks tab displayed for that client.

Working with Client Tasks

Tsks are displayed in the Client - Tasks list. You can review status, identify automation-generated tasks, manage security settings, and create task links.

Status Column

The Status column uses icons to indicate the progress of a task.

These icons allow users to quickly identify whether a task is not started, in progress, completed, or overdue.

Changing the selected View also updates which tasks are displayed based on their status.

Tasks Created by an Automation Process

If a task has been created as part of an Automation Process:

  • The delegator displays as System.
  • The Automation icon is displayed on the task row.

Click the Automation icon to open the Client - Process History Checklist for the relevant process.

From the Client - Process History Checklist, you can:

  • Review the Process steps.
  • Open the Task details.
  • Update the Task status if required.

Task Security

If Task Security has been enabled in Practice Settings, the Cabinet column is automatically included in Task Views.

This allows practices to control visibility of tasks to specific users only based on security settings.

To update a task:

  1. Click anywhere on the task in the Client - Tasks list.
  2. The Update Task Drawer is displayed.

Task Link

You can create a hyperlink to a specific task from the Client - Tasks tab.

To create a Task Link:

  1. Tick the checkbox to select the task.
  2. The Menu bar is displayed.
  3. Click Task Link.

Alternatively, right-click the task and select Task Link from the pop-up menu.

The Task Link is copied to your clipboard and can be pasted outside FYI.

A Task Link can be used in emails to other Internal Users as a reference to the task. When selected, the link opens the Tasks list with the relevant task selected and the Drawer open.
