To enable seamless editing of Office documents in FYI, OneDrive must be installed and configured correctly on each computer. This ensures users can open, edit, and synchronise documents between FYI and their desktop Office applications.
Note: This configuration is intended for FYI Admins and system administrators. If users work from a home computer, they may need to complete these steps themselves or contact their IT administrator for assistance.
Using OneDrive with FYI
FYI uses OneDrive to support desktop editing of documents while maintaining cloud-based storage and synchronisation.
- Documents are synced between FYI and the user’s computer using OneDrive.
- Users can open and edit documents using desktop Office applications.
- Changes made in desktop Office applications are synchronised back to FYI.
Each user who needs to edit documents using desktop Office applications must have OneDrive installed, signed in, and running on their computer.
Before You Begin
Before configuring OneDrive for FYI, confirm the following:
- The user has access to FYI.
- The user has a Microsoft 365 account.
- The user can sign in to OneDrive using the same Microsoft 365 account used to access FYI.
- The current OneDrive sync app is installed on the computer.
- Any older OneDrive versions, such as OneDrive for Business, have been removed.
Setting up OneDrive
Install OneDrive
If OneDrive is not already installed on the computer, install the current OneDrive sync app.
- For Windows, download and install OneDrive from the Microsoft OneDrive Download page.
- For Mac, review the Microsoft guidance for syncing files with OneDrive on macOS and install the OneDrive sync app.
- Follow the Microsoft installation prompts to complete the installation.
Note: Microsoft recommends using the current OneDrive sync app. Older OneDrive versions may not support FYI desktop editing and synchronisation correctly.
Sign In to OneDrive
After OneDrive has been installed, sign in using the user’s Microsoft 365 account.
- Open OneDrive on the computer.
- Enter the Microsoft 365 email address used to access FYI.
- Click Sign in.
- Complete the OneDrive setup prompts.
- Confirm that the OneDrive icon displays in the Windows taskbar or Mac menu bar.
Confirm OneDrive Configuration
Before users begin editing documents from FYI, confirm OneDrive is ready to synchronise files.
- Confirm OneDrive is open and running on the computer.
- Confirm the user is signed in with the correct Microsoft 365 account.
- Confirm OneDrive displays as up to date.
- Confirm the user can access their OneDrive folder from File Explorer on Windows or Finder on Mac.
The computer is now ready to use OneDrive with FYI. Refer to Summary of OneDrive Folders used in FYI.
Note: OneDrive must remain open and signed in while users edit documents from FYI using desktop Office applications. If OneDrive is closed, signed out, or paused, documents may not synchronise between FYI and the user’s computer until OneDrive is running again.
